Final submission

After you've successfully defended your thesis or dissertation and you've made all required corrections, your supervisor will confirm that your work is ready for submission to UVicSpace

There are four steps in the final submission process:

  1. Final checks. Compare your final thesis to the thesis format checklist and sample pages.
  2. Submit. Create an account in UVicSpace. Email your Graduate Admissions and Records Office (GARO) adviser  and request your account be linked to the Graduate Studies archival collection. Once it is, you can submit your thesis.
  3. Review. A GARO adviser will review your thesis. When the review is complete, you'll receive an email that either:
    • lists any required changes to your formatting
    • confirms that your formatting has been approved
  4. Approval. If approved, the UVic librarians will archive and publish your thesis. If you’ve requested your thesis be withheld, it will be withheld in accordance with the approval of Faculty of Graduate Studies. The UVic librarians will send you the permanent link to your thesis.

While you’re there, confirm that you’ve met all of your graduation requirements.

Completion Postponement Fee Adjustment (CPFA)

If you defended your project, thesis or dissertation within the first 15 calendar days of a term, you may be eligible for the Completion Postponement Fee Adjustment (CPFA). With the CPFA, you’ll pay a fee ($255) instead of a full tuition fee payment. 

To be eligible, you must:

  • be registered in the term in which the defense takes place
  • have paid your minimum program fee instalments before that term
  • ensure that Graduate Admissions and Records Office receives your final documents by the final business day of the month

You won’t be eligible to graduate in the same term as your defense if you complete under CPFA. If you complete under CPFA in September or January, you’ll graduate in the spring. If you complete under CPFA in May, you’ll graduate in the fall.

Note: a full term of ancillary fees (see Other Fees) will be charged in addition to the Completion Postponement Fee Adjustment.
