UVic has several options available for event planning. We’ve put together a list of options that meet UVic’s technical requirements because there is no ‘one size fits all’ solution for every campus event.

These options are intended for simpler events like training workshops or webinars at no additional cost.

Learning Central

  • best suited for training sessions, tutorials, and workshops
  • free to use for all UVic employees, including student employees
  • organizers and attendees use NetLink ID login
  • includes course registration and waitlisting
  • no Privacy Impact Assessment (PIA) or technical review needed to use this service
  • does not include guest attendees from outside of UVic

 Microsoft Teams webinar

  • best suited for virtual events like webinars
  • free to use for all UVic employees and students
  • organizers and attendees use their UVic Microsoft 365 account
  • includes scheduling and registration tools
  • does include guest attendees from outside of UVic
  • no Privacy Impact Assessment (PIA) or technical review needed to use this service
  • does not include payment processing

These options are intended for departments who regularly plan large events or conferences. This type of software purchase requires vendor contracts, privacy impact assessments, and several technical considerations.  

CVent

  • best suited for organizing large events like conferences
  • purchasing contract between your department and the vendor is required
  • compatible with UVic systems like NetLink ID login
  • can include guest attendees from outside of UVic
  • can be used to organize in-person, virtual, and hybrid events
  • you can charge for events*
  • requires a Privacy Impact Assessment (PIA) and technical review
  • does not have a no-cost account option

How do I request or access this service?

If you’re interested in a CVent or EventBrite contract for your department, contact Purchasing Services to get started. Each department’s vendor contract is unique depending on the event's audience and subject matter. This means you’ll need to complete a technical approval request as part of the purchasing process. CVent has several types of account packages that will impact your contract pricing. Purchasing Services will help you assess the best contract for your department’s needs.

Availability depends on the software you choose. Your vendor contract will define the service level agreement.
