Request for Reconsideration
A resident who has received an outcome from a conduct process may request the reconsideration of the outcome.
Residents may submit a Request for Reconsideration based on one or more of the following grounds:
- The resident can demonstrate a lack of procedural fairness, bias, or unfair treatment in the process.
- Information that is relevant to the issue is now available that was not reasonably available at the time the decision was made.
- The decision delivered is patently unfair.
Simply disagreeing with a sanction or outcome is not sufficient grounds for reconsideration.

Submit a Request for Reconsideration
*If the submission of your Request for Reconsideration Form will be delayed beyond five (5) University business days due to extenuating circumstances, you must connect with Residence Services at reslife@uvic.ca as soon as possible. Examples of extenuating circumstances include illness, family emergency, and scheduling concerns with campus supports.

Who reads my request for reconsideration?
In cases where you are requesting reconsideration of an outcome determined by a Neighbourhood Manager or conduct team member, your request will be reviewed by the Associate Director, Residence Life and Education or their designate.
If you are requesting reconsideration of an outcome determined by the Residence Conduct Manager, your request will be reviewed by the Associate Director, Residence Life and Education or their designate.
All requests for reconsideration of Termination of Contract (eviction) will be reviewed by the Director, Residence Services or their designate.
What happens after I submit my Request form?
You will receive a confirmation email from reslife@uvic.ca within two (2) university business days indicating your submission has been received. A Residence Services staff member will follow-up with you if your submission appears incomplete.
Optional Orientation & Support Meeting
After submitting a request for reconsideration form, a member of the Residence Services support team will contact you via email to invite you to an optional meeting. The purpose of this meeting is to orientate you to the request for reconsideration process and answer any questions you may have. The support team staff do not review your request for reconsideration.
Review Meeting
The designated Residence Services staff member will review your request for reconsideration. You will receive an email regarding next steps, which may include scheduling a meeting, requesting more information, or a decision.
Meetings are typically booked within five (5) university business days of receiving your completed request for reconsideration form. All meetings will occur in person in the Residence Services Office unless otherwise noted. Review meetings are an opportunity to share information and respond to questions. You are welcome to bring a support person to this meeting (see below for details).
After the Meeting
Following the meeting, the leader reviewing your request for reconsideration will inform you of the decision timeline. You can expect to receive an emailed letter indicating the outcome.
How is the outcome of my request determined?
The outcome of your request is determined based on the information presented in your submissions. Our residence system focuses on accountability as outlined in Schedule D of the Residence Contract, the Community Standards.

Uphold the original outcome
Modify the original outcome
Reverse the original outcome
Can I request reconsideration of the new outcome?
No, all decisions in the request for reconsideration process are final and therefore not eligible for further review or reconsideration.
Support Person Guidelines
- The support person can attend the meeting as a personal support to you. This means they are not to act as an advocate or representative for you, or to speak on your behalf. Respecting this guideline will avoid a delay or disruption to your meeting.
- Your support person is expected to respect the confidentiality of the meeting.
- There are circumstances in which Residence Services may ask you to bring a different support person than the one you initially indicated for the interest of due process. For example, your support person can not be someone who may have been involved in the incident we wish to discuss with you, or any other incident related to it. We will contact you if an alternate support person is appropriate.
