Event management software
Event management software can help you organize events of any size, from an internal meeting or training session to a conference. At a minimum, event management software will help you manage:
- registration and waitlisting
- communication with attendees
- reporting on attendance
We have several recommendations for software, depending on your needs.
Learning Central
Learning Central is UVic’s platform for internal training and workshops. It features event scheduling tools and self-service course registration and waitlisting.
Learning Central is free and available to all UVic employees, including all student employees.
UVic employees can submit virtual, in-person and hybrid events to Learning Central. It doesn’t require technical approval or a privacy impact assessment (PIA).
Learning Central is best for internal training and workshops for UVic employees.
Events calendar RSVP
The UVic events calendar (LiveWhale) supports registration for events. LiveWhale is free and doesn't require a privacy impact assessment (PIA).
You can make events public or limit them to people with UVic email addresses. LiveWhale doesn't support payment processing.
Microsoft Teams webinars
The Teams webinar feature provides registration and event management tools to a Microsoft Teams meeting. It supports scheduling, registration, and waitlist and attendee reports. It doesn’t provide payment processing.
Teams webinars can be private (anyone at UVic can register) or public (anyone can register).
Anyone at UVic can host a webinar on Teams. It doesn’t require technical approval or a privacy impact assessment (PIA).
Cvent
Cvent is our preferred partner for event management software. The platform provides tools to plan, promote and run events of all sizes. Beyond the basic scheduling and registration tools, Cvent can help you with many other tasks:
- find and book off-campus venues
- market and promote your event
- manage your budget and expenses
- book travel and transportation
- create event websites and communities
Your department can contract Cvent services at a variety of price points. They offer different packages and services depending on the size and complexity of your event.
Cvent is best for:
- events with paid admission
- public events that you want to promote
- large events with high organizational needs
Contact your purchasing officer if you're interested in contracting Cvent services. Technical approval and privacy impact assessments are required.
