New ASC appointment options & booking guidelines

Starting this September, we are making some changes to Academic Skills Centre (ASC) appointments to help more students access our limited appointment spaces and to provide more meaningful support during appointments.

What has changed?

Coaching and feedback appointment

We have revamped  our written feedback appointments to Coaching and Feedback Appointment. Now when you book and upload your draft, you will also book a coaching appointment to meet with an Academic Skills Advisor to discuss the written feedback.

During the appointment you can ask questions and develop strategies for revising your work. This conversation gives you an opportunity to understand the feedback and plan your next steps.

Please book a coaching and feedback appointment when you have a draft ready to submit. This gives the advisor time to review your work before your coaching appointment so you can focus your time together on your questions and the areas where you would benefit most from support. WCOnline will only allow you to book an appointment that is at least 24 hours after you submit your draft.

Consultation appointment

In-person and Zoom appointments are now called Consultation Appointments. These appointments provide an opportunity to meet with an Academic Skills Advisor to discuss your questions, talk through your learning goals and build strategies for academic success.

Please note: Consultation appointments do not include written feedback. Students can book an appointment up to 120 minutes (2 hours) before the appointment start time. This helps ensure that your appointment can focus on what you’re working on and the support you need.

Before you book

When you first access WCOnline, you will be prompted to review and update your profile before you can use the system. Please make sure your information is up to date so that we have current information about you.

Managing your appointment

Appointment time

When booking an appointment, please choose a time you expect to be able to attend and make sure you have the materials you need for your appointment.

Cancellations

If you can no longer attend an appointment, please cancel it via WCOnline as soon as possible and at least 24 hours before the start time. Cancelling early allows another student to use the appointment.

Cancellations within 24-hours of the appointment cannot be made through WCOnline. If you are unable to attend, please contact us at academicskills@uvic.ca. We recognize that unexpected circumstances happen and we will consider emergencies or other extenuating circumstances individually.

Appointment limits

Students may book up to two appointments per week, with a maximum of one Coaching and Feedback Appointment per day. These limits help ensure that more students have access to support.

Waitlist

If you don’t currently have an ASC appointment that week, you are welcome to join the waitlist. If you already have an appointment that week, please do not join the waitlist so that students who do not yet have an appointment have a better opportunity to book an available space.

Missed appointments

Missed appointments prevent other students from accessing support. If you miss two appointments during the term, your access to the online booking system will be suspended. To request reinstatement of your booking access, please contact us at academicskills@uvic.ca.

We understand that unexpected circumstances or other barriers can sometimes affect your ability to attend. If something is making it difficult for you to attend your appointments, please contact us so we can discuss available options.

If you continue to miss appointments after your booking access has been reinstated, we will contact you to understand whether there are barriers affecting your ability to attend and determine the best way for you to access ASC support.

Please cancel appointments you cannot attend as early as possible.
