Accommodated assessments for Winter Session 2023/24

To support the increase in demand for accommodated assessments, UVic has set aside dedicated assessment spaces in the Clearihue and Human and Social Development Buildings. New term employees in the Office of the Registrar and Enrolment Management (OREM) are available for booking and invigilation support.

As an instructor, you won't notice much of a change to the process, although you may be contacted by OREM if they are supporting your assessment. The Centre for Accessible Learning (CAL) will continue to make determinations about students' accommodation requirements and communicate those to instructors in an accommodation letter.

These are temporary measures for the 2023/24 Winter Session only. A Joint Working Group between UVic and the Faculty Association will be reviewing assessment accommodations and providing more sustainable recommendations longer-term. Instructors are encouraged to incorporate universal design principles into their courses and assessments for 2024/25.

Frequently asked questions

How do I request support for my accommodated assessment?

For the Fall 2023 term, the initial requesting procedure for instructors has not changed. Instructors are encouraged to submit their requests via webform or loading sheet, both available on the CAL Assessment Program website. Once the information is received, the instructor will be contacted by either CAL or OREM, or potentially both, depending on the nature of the services requested.

Do I have to print my own paper-based exams?

OREM is unable to offer printing services, so if your exam is being scheduled and invigilated by OREM you'll need to provide printed copies of your exam and all associated materials like bubble sheets or exam booklets at least 2 business days in advance. Exam materials can be dropped off at the counter in the OREM office on the main floor of JCC, A-wing.

The CAL Assessment Program will print your exams if you submit a paper or digital copy by 12 p.m. (noon) two business days before your exam. You will receive a reminder email 6 days before your exam which includes your chosen delivery method, such as by hand in the CAL main office or uploading through CAL Online Instructor Services. If you do not submit a copy by the printing deadline, you'll need to provide all necessary paper and digital copies by 12 p.m. (noon) one business day before your exam.

What is the capacity of the invigilation rooms?

We have 136 seats available across several classrooms and computer labs.

What are my options if OREM does not have space/availability to support my exam?

Instructors are encouraged to explore the following options if invigilation services are unavailable:

  • Adjust the length of your assessment so that it can be written by all students, including those with extra time accommodations, during class time.
  • Use an alternative form of assessment or a take home exam. Learn more about alternative assessments on Teach Anywhere.
  • Complete the Faculty & Staff space booking form to request a different classroom space for your exam. Note that requests received via this channel include space only; invigilation services must be provided by the instructor or academic unit.
  • Request a booking in the online assessment room (OAR). The OAR is a bookable Zoom invigilation service for online exams available through the Division of Learning and Teaching Support and Innovation (LTSI). Please email LTSI or visit Teach Anywhere's OAR page for more information.
