Terms and Conditions
Guests must abide by the Community Standards as outlined in the Community Guide. The Community Standards, along with the following terms and conditions, apply to all guest stays in residence.
1) Check-in and check-out Details:
- Check-in begins at 3:00pm on the scheduled day of arrival in the Craigdarroch Office Building.
- If you expect to arrive after 2:00am on the night of your arrival, please contact us in advance to ensure your reservation is held.
- The registered guest responsible for the room must be at least 19 years of age and must provide a valid credit card in their name along with one piece of government issued photo identification at time of check-in.
- Please be advised that a credit card hold in the amount of $100.00 CAD for a damage deposit will be placed on the credit card.
- Check-out time is by 11:00am on the scheduled day of departure.
- Late check-outs will incur a charge equivalent to one night's room rate.
- Guests must be 19 years of age or older to book and stay without supervision.
- Guests aged 18 years or younger must be accompanied by a designated chaperone. The chaperone must reside in the same building and on the same floor as the minor. If staying in a cluster unit, the chaperone must reside in the same unit.
3) Payment Details: Full payment is required at the time of booking to secure the reservation.
4) Cancellation and No-Show Policies:
- Cancellations: Reservations may be cancelled without penalty up to 48 hours prior to the scheduled arrival date. All cancellation requests must be submitted in writing to visitoraccommodation@uvic.ca. Cancellations made within 48 hours of the arrival date will be subject to a cancellation fee equal to one night's stay plus GST.
- No-Show Policy: Reservations will be cancelled for guests who do not check-in on their scheduled arrival date. A no-show fee equal to one night's stay plus GST will apply. Any remaining balance will be refunded to the original form of payment.
5) Smoking: All residence space is non-smoking and non-vaping. Smoking, vaping, and the use of Cannabis is only permitted in designated areas on campus. See map for details. A cleaning fee of $250.00 CAD will be charged each time smoking or vaping occurs, to cover the cost of cleaning and housekeeping services.
6) Pets and Guide Dogs: Pets of any kind are not permitted within any guest accommodations, with the exception of a certified guide dog. Guests accompanied by a guide or service dog must present a valid government issued Guide and Servive Dog Certificate at check-in. The owner of the service dog is responsible for its behaviour. The service dog may not be left unattended in the room or unit at any time. Any damage caused by the guide dog will be the sole responsibility of the owner and may result in additional charges.
7) Lost Keys: Lost or unreturned keys may be subject to a fee: $150.00 CAD for residence rooms, and $500.00 CAD for a cluster unit.
8) Parking: All vehicles parked on campus require a valid parking permit. Permits can be purchased at parking dispensers located in lots around campus, or through a mobile parking app.
9) Damage to Property: Guests (and chaperones of minors) are responsible for any and all damages to, and loss of, University of Victoria property. Charges will be assessed and charged to the guest.
10) Safety & Security: University of Victoria Residence Services reserves the right to terminate your stay, reassign rooms, and to affect other steps for the safety and security of the Residence Services guests.
11) Construction: We are in the process of upgrading our residences. Please be aware of ongoing renovation and refreshes in the residence precinct throughout the summer season. You may experience minor disruption, including minimal noise and dust, however, the University will do everything we are able to do to ensure that renovation work is as unobtrusive as possible. The ongoing construction has been considered in determining our short stay visitor accommodation rates. Please note that there will be no compensation or discounts due to work taking place on campus and/or relocation.
