Leaving UVic
Leaving UVic is a big step. Whether you’re joining another employer, or taking time away, this page explains what to do and what to expect: notice periods, final pay and vacation payout, benefits coverage, pension options, and who to contact.
Before you resign
Once you resign from UVic, you will not be able to undue this action, even if your next job prospect falls through.
- Be sure of your next step: if you have another offer, confirm it in writing
- Know what the required notice is for your employee group
Required notice (by employee group)
Notice periods are outlined in the Collective Agreement for unionized employee groups. Some notice periods are outlined below:
How to resign
-
email your supervisor with a signed resignation letter that states your last working day.
-
copy HR (and your union, if required by your Collective Agreement).
-
coordinate handover (files, projects, contacts) and return all UVic property (ID card, keys, equipment).
-
submit final time sheets/expenses and update your out‑of‑office message.
After you resign
Once you are no longer an employee, you will not be eligible to receive UVic pay or benefits. Here's what will happen shortly following your last day of work.
Your final pay, including any unused vacation, will be issued on the next regular pay date following your final day of work.
Email payroll@uvic.ca with questions about your final pay.
Per UVic Policy IM7200, your UVic email will be decommissioned when you leave and your access will be removed from UVic systems.
You will continue to have access to UVic MyPage for tax forms and payroll documentation.
