Benefit enrolment & termination
Benefit enrolment typically occurs during the onboarding process for new employees. Once enrolled, changes to benefit coverage and beneficiaries are initiated by employees. Review this page for information about coverage and eligibility for various UVic benefit plans.
Employee eligibility
Eligibility for benefit enrolment varies based on your employee group and length of contract with UVic. During your onboarding, UVic will confirm your eligbility for benefits and prompt you to enrol where required. Check your eligbility any time by clicking on your employee group below. Consult your Collective Agreement or Terms of Reference for more detailed information regarding your eligibility.
Enrolment deadline notice
In all cases, enrolment must occur within 30 days of becoming eligible.
- if you are eligible at the time of hire, you must enrol within 30 days
- if your term is extended and that extension changes your eligibility, you may enrol within 30 days of that extension being processed
- changes to enrolment are only possible following an eligible life event such as marriage, common-law, divorce, birth or adoption.
Regular, continuing employees working a minimum of 0.50 FTE are required to enrol in full benefits from their 1st month coinciding with or following eligibility.
Term employees working a minimum of 0.5 FTE for 3-11 months are eligible for voluntary enrolment in extended health benefits.
Term employees working a minimum of 0.5 FTE for at least 12 months are eligible for voluntary enrolment in extended health, dental, basic group life and optional group life insurance at the time of hire.
Continuing employees working a minimum of 0.50 FTE are required to enrol in full benefits from their 1st month coinciding with or following eligibility. Note: dental, long term disability and life insurance plans are eligible on the 1st of the month following probation.
Temporary employees working a minimum of 3 months at 0.5 FTE or more are eligible for voluntary enrolment in extended health benefits.
Regular, continuing faculty & librarians working 0.50 FTE or more are required to enrol in full benefits from their 1st month coinciding with or following appointment.
Term faculty & librarians working a minimum of 0.50 FTE or more are eligible for voluntary participation in extended health, dental, basic group life and optional group life plans from their first month following appointment.
Continuing employees working a minimum of 0.50 FTE are required to enrol in full benefits from their first month coinciding with or following eligibility.
Temporary employees working a minimum of 3 months at 0.50 FTE or more are eligible for voluntary enrolment in extended health benefits.

Enrolment forms
Enrolment in UVic Extended Health & Dental plans is a requirement for all continuing employees. Benefit enrolment forms are included in employee onboarding packages via UVic Careers.
If you are eligible for voluntary enrolment, forms are included below.
After initial enrolment, dependents may only be added or removed immediately following an eligible life event, such as marriage, common-law, divorce, birth or adoption.
Eligible dependents
UVic benefit plans have provisions for eligible dependents. Premium rates may vary between single, couple, and family enrolment. Click below for more information about each eligible dependent category.
To retain eligibility, these children must be unmarried, dependent on the employee, and under the age of 21.
- children under age 21 are not covered if they are working more than 30 hours per week unless they are full-time students
- children enrolled full-time at a recognized educational institute may retain coverage up to age 25
If a child is no longer a student, the coverage will cease at the end of the month of finishing school or university.
If a child is incapable of supporting themselves because of a physical or mental disorder, they are covered without age limit if the disorder begins before they turn 21, or while they are students under age 25 and the disorder has been continuous since that time.
Add or remove dependents
Throughout your time at UVic, you may need to add or remove dependents to your benefit plan. Note that there are different benefit premium rates for singles, couples, and family coverage; adding or removing a dependent may impact your premiums.
Beneficiaries
Employees can name beneficiaries when they enrol in benefit coverage. Employees can make changes to beneficiaries at any time by emailing the benefits office at benefits@uvic.ca.
Termination
Your UVic benefit coverage will cease if:
- You retire from the University
- Your employment with the University is otherwise terminated
All benefits will cease on the last day of the month in which you terminate employment.
If you were enrolled in a UVic pension plan prior to employment termination, contact the Pensions office for more information.
If you were enrolled in a UVic Pacific Blue Cross Extended Health and Dental plan and wish to convert to an individual plan, contact Pacific Blue Cross.
