We also offer a suite of services to help you meet national and international requirements around data management, scholarly communication and open access publishing.

All in-kind contributions must be approved by UVic Libraries before you submit your grant application. Please book a consultation with us to discuss the details.

We offer tailored instruction in a range of research software programs for data analysis and visualization, version control, citation management, and publishing. This training empowers teams of various skill levels to adopt new tools in their research projects in an accelerated timeframe.

Book Arts Lab
The Book Arts Space at UVic Libraries is an interdisciplinary space on the lower level of Mearns - McPherson. It supports letterpress printing, bookbinding, zine-making and other activities related to historical and contemporary book arts. We offer workshops in this space as a standard service. Additional training, access and support from Master Printer Jacob Dundee Appleby Maddison is available and can be included in your grant application at real cost.
This service is not currently available as an in-kind contribution.

Meeting space (Digital Scholarship Commons)
The library's Digital Scholarship Commons (DSC) is available as a meeting and lecture space. You can host research team meetings here, conduct workshops and disseminate your research through lectures or classroom sessions.
Our software and equipment can suit a range of disciplines and presentation styles.

Our librarians can help you and your team develop a strong data management plan (DMP). We will use the DMP Assistant, Canada's national data management planning tool.
We also offer DMP support at all stages of the research lifecycle. We can help you learn best practices for data management. Learn how to resolve issues at any point of a research study.

The library can help you store and share your research data to meet Tri-Agency funding requirements.
We also offer support to help you improve your data curation practices. Learn to resolve issues at any stage of the research lifecycle.
We can help you:
- create documentation and metadata
- develop quality assurance practices
- store your data in repositories that enable discovery and access, including our certified Dataverse repository
The library can also help you preserve older research data that may be at risk.

4. Knowledge mobilizationData management -
Metadata development
UVic Libraries can help you develop metadata for digital research objects.
We will:
- build you a custom metadata input form
- help you develop a data model
- recommend standards to ensure that metadata can be shared, indexed and reused
- help to standardize object descriptions for better search and discovery
Our Fedora software will create unique URL identifiers for each object. It will generate linked data triples for inclusion in an external triple store.
All public collections hosted by UVic Libraries are indexed in major web search engines.
In-kind contribution value
- $2,000 ($80/hour × 25 hours) for initial data modelling and metadata consultation
We also offer extended metadata services at cost.

You are responsible for:
- adding descriptive metadata to research objects
- vetting accuracy
- ensuring that the project team is familiar with the data model and standards
3. Data structuring and analysisData management
Digital scholarship

Digital hosting
The library can host your digital research objects on our Hydra digital asset management system. (This can include documents, images, datasets, audio or video.)
Your team can use Hydra to upload, share and describe objects. Adjust the privacy settings to share objects within the team or openly on the web. Use the versioning feature to track changes to each object.
In-kind contribution value
- $2,000 ($80/hour × 25 hours) for initial configuration, software training, and support
- $250/funding year for infrastructure costs and maintenance
We can also develop and support additional features at cost.
Researcher responsibilities
You are responsible for uploading digital objects. You also need to ensure that you have the appropriate rights over the material.
4. Knowledge mobilizationDigital scholarship -
Digital preservation
We can store your digital objects and metadata on our hosting platforms. Your data will benefit from our digital preservation practices.
We will provide:
- advice on sustainable file formats and derivative file types
- regular back-ups and integrity checks
- necessary security updates
Your objects will be part of the library's digital lifecycle planning. We may use Archivematica, Archive-It, LOCKSS and related tools to preserve the data. We may also perform file integrity checks and format migrations over time.
Cost
- $2,594/TB one-time payment for long-term storage costs
- $500/funded year for ongoing preservation services
- you can purchase extra storage space at cost

5. Curation and preservationDigital scholarship -
Digitization
Our Digitization Centre can help you create and share digital collections.
We have experience digitizing:
- books and manuscripts
- photographs, artwork, posters and slides
- microforms
- maps
- audio-visual resources
- rare and fragile materials
We also offer optical character recognition (OCR) for typeset materials.
The Digitization Centre has partnered on a number of successful grant applications. We welcome collaborations with faculty, students and community partners.

Web archiving
We offer support for capturing and preserving web-based content as part of your research project. This service is ideal for researchers working with ephemeral online materials such as social media, government websites or event-driven web content. Using tools like Archive-It, we can help you plan, scope and execute targeted web crawls, ensuring future access and long-term preservation of web resources that are critical to your scholarship.

Publishing and impact

ePublishing services
UVic Libraries offers a suite of services related to the publication of open access monographs, as an output of grant-funded research. This alternative to traditional publishing channels provides the opportunity for wide dissemination of research, at a lower cost. The result is a professional-looking publication, openly available and permanently archived online. For examples of our past publications, please visit our ePublishing website. If you are interested in this service, please submit a book proposal to press@uvic.ca.
The ePublishing team will assist from start to finish, with review of materials, copyright, formatting and design. Digital publications are archived on UVicSpace (UVic's institutional repository). Print-on-demand copies are available for purchase through the UVic Bookstore. Researchers are required to supply funding for external professional services such as copyediting and book design. However, Libraries staff can suggest and facilitate additional grant applications to assist with these costs, where possible.
Manuscript review

An experienced librarian or staff member will review your manuscript for clarity, consistency and style. References will be checked against the relevant style manual.
Formatting and design
- real cost: estimated at $5000/book for an external contract, depending on size and complexity
We will discuss cover design, layout and overall aesthetic with you. We usually contract with an experienced book designer to work on the book design. This includes cover, formatting of tables and images, font and headings, accessibility, etc. Cost will depend on the complexity of content and design choices. Depending on funding availability, timelines and design requirements, the book design may also be undertaken by an in-house staff for design and formatting ($50/hour; estimated at 4 hours/chapter, depending on complexity).
Copyright support and clearance
- coordinator time in-kind: $50/hour
- estimated 4 hours per book
Copyright staff will review the manuscript for potential copyright issues. Our staff can research and facilitate copyright permissions for items such as third-party figures and images. We may also suggest open-source alternatives.
The researcher is responsible for any associated copyright fees.
Publication grant application assistance

If applicable, the ePublishing Services Office will advise on submission and management of appropriate additional grants to support publication of research (e.g. BCcampus Open Textbook grant.)
Ongoing support

The ePublishing Services Office will provide ongoing support for the project, including:
- advice on open access licensing
- book structure (e.g. copyright page/acknowledgements)
- managing timelines for book production
- liaising with designers and editors

Journal e-publishing
Use our free online journal platform to publish your work. Publishing with us will allow you to meet open access requirements and share your research widely.
Our platform includes an article archive and features to support your editorial workflow.

- provide ongoing hosting

We will give you access to our Open Journal Systems (OJS) software. We will set up an account so the publisher can submit, edit and publish electronic journal content.We will also give you training and ongoing support on the use of the software.

We can help your journal move to UVic from another platform. This can include:- assisting with the transfer
- digitizing and hosting your archived materials

Open Access publishing in UVicSpace
UVic faculty and students can publish in the UVicSpace institutional repository for free. Sharing your work through UVicSpace allows you to meet Tri-Agency Open Access requirements without paying author fees.
UVicSpace is an excellent way to preserve and share your scholarly and creative outputs. You can publish in various formats, including:
- articles
- books and book chapters
- reports
- videos
- posters
- PowerPoint presentations

Open Access publishing support
We can help you:
- understand funding requirements for open access publishing
- choose reputable open access publishing venues
- fund open access publishing through waivers and discounts on author processing charges (APCs)
The library negotiates APC waivers and discounts on behalf of all UVic researchers. Our open access consulting services are free for members of the UVic community.

Search and discovery

Evidence synthesis
Systematic reviews and other types of evidence synthesis are an important part of funded research. You can request a librarian to collaborate on your grant-funded project. They can help you reduce bias and increase the quality of your review.
Some granting agencies require librarians to be collaborators on evidence synthesis projects.
To request a librarian collaborator, fill out the request form. Please note that librarians may not have time to accept every request. Please let us know if you would like to include the librarian in your grant.As a collaborator, the librarian will:
- assist with refining the research question and inclusion criteria
- contribute to the methods section of the review protocol
- create, validate and translate comprehensive search strategies
- export and collate citations into a Covidence account
- provide guidance on grey literature searching and citation tracking
- write the search methods section of the manuscript
- review the manuscript prior to submission
- respond to reviewers’ comments related to the search methods
The librarian can also provide guidance on other tasks, such as:- data management

- locating articles for full-text screening

A typical evidence synthesis project takes an average of 26.5 hours of the librarian's time. We will provide an estimate of the total number of hours during our consultation.

Librarian/archivist collaboration
Librarians and archivists bring a wide range of different types of expertise that may benefit your research project. For example, we can help you:
- plan a comprehensive search strategy with a librarian who specializes in your subject area
- find and access data sources including government data and GIS data
- navigate the complexities of copyright and publishing
- build a knowledge mobilization plan that maximizes the impact of your research
Depending on the complexity and scope of the librarian's contribution, you may be able to list them as a partner on your research grant.
