Office phones

Most offices at UVic use Microsoft Teams Phone or Cisco voice over IP (VoIP) phones, which use UVic’s data network. If you have a physical handset in your office, it is probably a VoIP phone.

Get an office phone

If you would like a new office phone, contact IT support. We have a stock of surplus phones that we can reassign, saving your department the cost of buying a new one.

Cisco Unity voicemail

Most people with an office phone have Cisco Unity voicemail. When someone leaves a voice message, it's put in an email and delivered to your inbox. You can listen to your voicemail from any device where you get your email and get new message notifications from Outlook.

When you set up your voicemail, you'll get an  email with a temporary PIN. To set up your voicemail:

  1. Click the message button or dial 7000 on your phone
    • If you are off campus or using a mobile phone, call 250-721-7000 and enter the last four digits of your UVic phone number when prompted.
  2. Enter your temporary PIN.
  3. A message will tell you that your temporary PIN has expired. Enter the new PIN you’d like to use.
  4. Follow the prompts to record your name and your personal greeting.
    • If you are off campus or using a mobile phone, you need to let the call ring through to voicemail.

You can reset your PIN through the Cisco Self Care Portal. Sign in with your UVic NetLink ID and passphrase.

Voice-only voicemail

Phone-only voicemail is for UVic local numbers that aren't attached to a specific person or mailbox. They can be used to provide voice service to anyone working in a shared office space or research lab.

You’ll get an email with a six-digit PIN for your voicemail. To set up your voicemail:

  1. Dial 4444.
    • If you’re off campus, you’ll need to call your own UVic phone number, wait four rings and then press * when the greeting plays.
  2. Enter the six-digit PIN when you’re prompted.
  3. A message will tell you that your temporary PIN has expired. Enter the new PIN that you’d like to use.
  4. Follow the prompts to record your name and your personal greeting. Make sure that you complete each step fully so the system accepts it.

To reset your voicemail PIN, contact IT support.

To check your voicemail from off campus or while using a cell phone:

  1. Dial 250-472-4444.
  2. When prompted, enter your mailbox number.
  3. When prompted, enter your PIN.
  4. Press 0 to activate the touchtone keypad commands.
  5. Press 1 to access voicemail messages.
