Student room booking requests

We offer group study rooms with AV systems and specialized media rooms for student use.

Students can use our group study rooms and media studios to collaborate on group projects, rehearse presentations, use virtual reality technology in their studies, and produce high-quality digital media content.

The two eight-seat group study rooms and one 10-seat room for student group work and presentations feature a whiteboard, 40" display, and computer.

Availability: Student groups (2 or more)

Limitations: Maximum two hours a day for each student. Maximum lead time of 7 days.

Virtual reality (VR) studio in BEC

BEC 190 entrance

The VR studio allows students and instructors to use cutting-edge virtual reality technology in their studies. We've partnered with UVic Virtual, Geography, Greek & Roman Studies, faculties of Education and Fine Arts, and UVic Libraries to offer content and applications. Available to students. (Look inside using Google Earth!)

Availability: Students, instructors, and staff

Limitations: Maximum one hour a day for each guest. Maximum lead time of 7 days. An orientation is mandatory before booking.

Location: Business and Economics building, room 190

These group study spaces seat seven and feature portable whiteboards and large-screen displays. Use the built-in desktop computer for project work and presentations or connect your own laptop.

Availability: Student groups (2 or more)

Bookings

Once you've read the guidelines below, you can book rooms at our self-service booking page.

We'll consider special requests (for example, if you need to book a longer session or further in advance) on a case-by-case basis. Contact the Computer Help Desk with special requests.

Guidelines for booking and use

  • All self-service bookings are subject to the limitations above. We may cancel bookings that aren't in line with these limitations.
  • Be prepared to leave promptly at the end of your booking because there may be another group booked immediately after. If there isn't another booking, you may continue to use the room after your booking.
  • No food is allowed in the group study or media rooms. Drinks in covered containers are permitted.
  • If you can't be there for a booking you've scheduled, cancel or reschedule it at least 24 hours in advance. In case of illness or emergency, give us as much notice as possible.
  • Bookings will be held until 15 minutes after the scheduled start time. If you haven't occupied the room by then, we may cancel your booking so someone else can use it.
  • University Systems isn't responsible for loss or damage of items left unattended in the room.
  • Rooms must be vacated 10 minutes before the computing facility closes.
  • Use is subject to Policy IM7200 - Acceptable Use of Electronic Information Resources, UVic's policy on non-academic misconduct, and other relevant policies and laws.
  • If you violate these guidelines, your bookings may be cancelled and future booking privileges may be revoked.
