Joining your advising appointment

For students witha confirmed booking with the Academic Advising Centre, advising appointments are currently available by phone or over Microsoft Teams.

In both cases, the adviser will contact you for your appointment. Due to the high volume of student inquiries and appointments, your adviser may not be able to contact you right away, so please be prepared to receive the call up to 10 minutes after your scheduled time.

Appointments by phone

Your adviser will contact you at the phone number you provided at the time of booking, either through Accordion or in working with one of our frontline advisers. This phone number will be included at the bottom of your confirmation and reminder emails.

Appointments by Microsoft Teams

Your adviser will contact you over Microsoft Teams. To receive the call, you must:

  1. Have your UVic Microsoft 365 account set up
  2. Have the Microsoft Teams application (desktop, phone or web-based) running at the time of the appointment
  3. Accept the call when the adviser contacts you

To set up your Microsoft 365 account

Microsoft 365 accounts are available to all admitted UVic students, but are not provisioned automatically by the university. To request an account:

  • Use a browser and navigate to https://onlineservices.uvic.ca
  • Sign in using your Netlink ID and password
  • Under Microsoft 365, click the Sign up for service button

Please note that it may take up to 48 hours for your account to be set up by the Help Desk, so if you have chosen an appointment by Microsoft Teams, please sign up as soon as possible if you have not already done so.

To use Microsoft Teams

From a web browser:

  • Navigate to https://portal.office.com
  • Sign in using your Netlink ID and password (be sure to include the @uvic.ca portion of your ID)
  • If you have more than one account associated with your UVic email address, you may be prompted to specify which account to use. If so, select Work or school account.
  • Click the Microsoft Teams icon from the vertical navigation menu

From a desktop or laptop computer:

  • Navigate to https://portal.office.com
  • Sign in using your Netlink ID and password (be sure to include the @uvic.ca portion of your ID)
  • If you have more than one account associated with your UVic email address, you may be prompted to specify which account to use. If so, select Work or school account
  • Click the Install Office button at the top-right of your screen

From a smartphone or device:

  • Access the app store for your device
  • Search for Microsoft Teams
  • Install the Microsoft Teams app
  • Sign in using your Netlink ID and password (be sure to include the @uvic.ca portion of your ID)
  • If you have more than one account associated with your UVic email address, you may be prompted to specify which account to use. If so, select Work or school account.

To accept a call from your adviser

When your adviser calls, you will receive a pop-up notification from within Microsoft Teams. To accept the call, press the video or audio buttons, depending on whether you would prefer to share your video (and provided you have a camera connected to your device).

If you miss your appointment

If your adviser is not able to reach you, they will leave a message and attempt to call back within five minutes. If they are contacting you by Teams and are not able to reach you, they will attempt to call you by phone at the number you provided on booking.

If the adviser is not able to reach you successfully at your scheduled time, they will follow up with an email. From there, you are welcome to respond your questions or book another appointment online.
