Gifting policies & procedures

The University of Victoria is a registered charity. Our charitable registration number is 10816 2470 RR0001.

Philanthropic support plays a key role in helping UVic achieve its academic goals and improve programs and services. We fundraise to support our mandate, vision and mission, guided by policies that ensure our efforts are consistent, ethical and transparent.

Accepting a gift

The university welcomes donations from individuals, businesses, foundations and groups. Our gift acceptance practices help protect ethical standards, independence and academic freedom.

The Gift Acceptance Policy explains how we handle, approve and recognize gifts. Some gifts may need approval in advance.

Receipting a gift

We follow the Canada Revenue Agency guidelines for issuing charitable tax receipts.

Endowments

The University of Victoria Foundation manages the university’s endowment funds.

The Endowment Management Policy explains how earnings from these funds are calculated and used.

The Statements of Investment Objectives and Guidelines outline how the funds are managed while keeping risk at levels approved by the Foundation Board.

Donor wishes, confidentiality & anonymity

UVic collects and protects donor information under section 26(c) of the Freedom of Information and Protection of Privacy Act. The University of Victoria Foundation Personal Information Protection Policy explains how personal information is safeguarded.

Donors may be publicly recognized based on their gift amount and preferences.

UVic will honour requests for anonymity as much as the law allows.

Responsible investment

The UVic Foundation website shares information about responsible investing and includes links to the Responsible Investment Policy.

Naming of facilities & physical assets

The university may honour gifts by naming buildings, spaces or other assets. The Naming of Facilities and Physical Assets Policy explains the rules for naming, renaming or removing names.

Academic chairs & professorships

Donations can be used to create endowed or term academic positions, such as chairs or professors. The Establishment of Endowed and Term Chairs and Professorships Policy guides how these positions are created and approved.

Research funding indirect cost recovery

For research-related donations, standard indirect costs may apply. Indirect costs of research, or overhead, are ongoing institutional costs related to research that are not directly attributed to a specific project or activity. This is laid out in the Negotiated or Approved Indirect Cost Rates section in UVic’s Indirect Costs of Research Policy – FM5400.
