Skype for Business is powerful way to instantly communicate. With the click of a button you can open a text chat, make a voice or video call, or even start an online meeting. Skype for Business makes online communication more collaborative and engaging.

Setting Up

How do I know if Skype for Business is installed on my computer?

Check to see if the Skype for Business app is in your Windows Start Menu or Mac Applications folder. If you are unable to locate it, contact the Computer Help Desk.

How do I set up my audio and video?

After Desktop Support Services has installed the appropriate accessories, you can test your audio and video. See related video/how to: Set up audio and video in Skype for Business

If audio or video issues persist when using Skype for Business, please contact the Computer Help Desk.

How do I change the font of my outgoing IMs?

To change the font for all your outgoing IMs, go to the settings cog, Tools, Options, IM. Select Change Font and configure your settings.

Note: this will change your font's appearance when you IM someone - they will also see your new font.

To change the font for a specific conversation, click on the ellipsis in the bottom right-hand corner of the chat window and select "change font":

Can I change my photo in Skype for Business?

General questions

How can I check if my computer supports Skype video?

If your computer has a microphone and web camera, Skype video should be available.

Can I create a custom presence status?

Presence in Skype for Business is restricted to a fixed list of statuses: available, busy, do not disturb, be right back, off work, and appear away. A new type of presence cannot be created, however, different statuses can be selected manually. 

In the main Skype for Business window, a personal note can be entered by clicking "What's happening today," just above your display picture. This will enable the status note field.Type in this field to provide any information that is viewable to all users of Skype for Business.

I often switch between different devices. What should I know?

Conversations and notifications don't always show up on both devices. If you use multiple devices, be aware that Skype will set the most recently used device as "active" and may think it's starting a new conversation.

What happens if I block someone on Skype for Business?

Blocking someone in the Skype for Business makes your status always appear as "Offline" to the blocked caller. The blocked user will not be able to send you instant messages but can still send you meeting invitations since these are sent with Outlook.

Why can't I reply to an email by instant message (IM) using Outlook Web App (OWA)?

Reply-by-IM is available in Outlook Web App (OWA) for emails sent from any Skype-enabled contact. You cannot reply to a meeting invitation in OWA by IM. 

If you are trying to reply to a message in OWA by IM, you must ensure the contact you are trying to reply to is Skype-enabled. To check if the contact you are trying to reply to has Skype, look at the contact at the top of the OWA message. If there is a red, yellow, or green square on the left side of their photo, then they are Skype enabled. You can also right-click to view their contact card and look for red, yellow or green on the left side of their photo.  You can reply by IM to a Skype-enabled contact by clicking the […] button on the right side of the email and selecting either Reply-by-IM or Reply-All-by-IM.

Can I use Outlook Web App (OWA) with Skype for Business?

Yes, you can IM your contacts using OWA (Outlook Web App https://mail.uvic.ca).

Some of my attendees don't have Skype for Business. Can they still join my meeting?

Anyone that is not enabled for Skype for Business can join a scheduled meeting using the Skype for Meetings App web client which will launch after clicking on the link in the meeting details. The attendee must have permissions on their computer to download and install the plug-in on their own.

If I manage an exchange calendar for another person, can I be a delegate in Skype for Business as well?

No. Exchange is similar to a physical inbox; it can be used to collect items (email) for different people. If a person is away from the office, this inbox can be managed by another person. In contrast, Skype for Business is a personal communication tool. Think of it like a cell phone: when someone reaches out to you in Skype, they want to speak specifically to you.

Online meetings

How do I host a scheduled video conference?

Ad hoc meetings can be called by clicking on a contact's display photo:

Note: OWA can be used to schedule meetings if you don't have Outlook installed on your machine. To do so, schedule a meeting in the OWA calendar and click:

Skype for Business meeting details should automatically population the invitation. When the meeting time arrives, you can join the meeting from your OWA calendar, Outlook calendar, or Skype via the meetings tab:

How many attendees can I invite to an online meeting?

You can invite up to 250 attendees; 10 of those attendees can be distribution lists. Distribution list members don't count to the limit (e.g., a distribution list with 5 members counts only as one contact).

What does a non-enabled meeting attendee need to join a Skype for Business meeting?

Anyone that is not enabled for Skype for Business can join a scheduled meeting using the Skype Meetings App web client which will launch after clicking on the link in the meeting details. You may require administrator permission to download and install the Skype Meetings App web client plug-in on your computer. Please make these arrangements with your local IT support.

I don't have a webcam. Can I still view video that is shared by other meeting participants?

Yes. You will be able to view their video feeds. You will just be unable to send your own video.

Can I invite any email address to a Skype for Business meeting?

Yes, you can invite any email address to a Skype for Business meeting. When they join the meeting, they will be prompted to download the Skype Meetings App plug-in.

Can I mute a videoconference?

Yes. Muting a videoconference will silence the audio for all meeting participants, including those that have phoned in to the meeting. All participants will be notified by a visual notification - both icon and text - that they have been muted. To silence only your audio, click the microphone icon in a meeting so you cannot be heard. To unmute, simply click the icon again.

Exclusions

I work on a virtual payment terminal. Do I get Skype for Business?

Virtual Payment Terminals are used to conduct secure payment transactions. Other activities, such as Skype for Business communications, should be conducted on a non-VPT machine. See VPT FAQ for more information.

I use a remote desktop, do I get Skype for Business?

Skype for Business is unsupported on Remote Desktop Protocol (RDP) machines. If you are using RDP on or off-campus, you should not use Skype for Business for videoconferencing. The amount of memory and bandwidth required for this will cause your experience and that of others to be poor. 

If I manage an exchange calendar for another person, can I be a delegate in Skype for Business as well?

The nature of Skype for Business and Exchange is sufficiently different that delegation cannot be extended one to the other.

Exchange is similar to a physical inbox; it can be used to collect items (email) for an owner or a unit. If the primary owner is away from the office, this inbox can be delegated in order to be managed by another person. Skype is not the same; it is a personal communication tool. Similar to a work cell phone, Skype for Business is intended to facilitate individual communication. When someone reaches out to a user with Skype for Business, they want to speak specifically to that user as they would on the phone.
