Research bookings

University Systems manages 14 computer classrooms. Three of these rooms are available for UVic departments to book for electronic data collection for academic research.

There is no charge for ressearch-related room bookings, though some fees may be assessed for events with extrordinary setup needs.

FAQ

Where can I book?

You may book any of the three computer classrooms in the Human and Social Development Building for research bookings (rooms A150, A160, and A170). You can see details about the capacity, layout, and hardware available in each room at classroom details.

At what times can I book space?

You may request research bookings any time during the operating hours of the computing facility in the Human and Social Development building, provided there is a free room to book in. The regular operating hours during the Winter term are 8:30am to 6pm. The regular operating hours during the Summer term are 8:30am to 4pm.

If you’d like to see the current booking schedules of a room to plan out your sessions, you can view them through our LabStats website. Note that the online schedules are updated by hand; there may be schedule changes that are not reflected on the online schedules.

When should I submit booking requests?

We will process research bookings along with other non-academic bookings (that is, bookings other than lectures, labs, seminars, and tutorials scheduled in UVic’s academic calendar) one month before the start of the term.

Please allow two business days for us to process a booking request. We may not be able to fulfill requests on short notice.

Do I need a sponsor?

If you are an undergraduate student, you will need to provide the name and contact information for an instructor or research advisor who will sponsor your request. Your sponsor must provide written notice that computer classroom bookings are necessary for your research.

How much time can I book?

You may book up to six hours per week. In some cases, we can book more time with permission from the Computer Help Desk manager.

What if I’m not going to use a room when I have it booked?

If you’re not going to use a room, let us know as soon as possible. That way, we can make the room available to other groups or drop-in users.

If you do not use a room when you have it booked without giving us at least a business day’s advance notice three times, we may cancel your future bookings and revoke your future booking privileges.

What software is available in the computing facilities?

A list of our available software is available. Note that the classrooms in the Human and Social Development Building all use the Windows Standard image.

What audiovisual technology is available in the classrooms?

Each classroom has chalkboards, a video data projector, and speakers.

What if I need other software to perform my experiment?

We are able to provide custom software installations provided the software is free or a suitable license is provided. We recommend you contact us to discuss licensing requirements before purchasing software for use in the computing facilities.

The deadline for software requests is three business weeks before the start of the term in which the software is required.

A labour fee of $75 per hour may be assessed for custom software installation. 

Do I need to obtain ethical approval for my study before I can book time?

Yes. You must have received approval from the Human Research Ethics Board before you may request that we book space for your study.
