I want to. My name is Neil Burford by the way and I'm the Acting Associate Dean for the Faculty of Science that you Vic. 12:01:07 And I want to begin with the territory acknowledgement. 12:01:11 We acknowledge with respect the quantum peoples on whose territory, traditional territory University stands and the song he's a requirement, and we're Salish peoples on whose historical relationships with the land continue to this day. 12:01:30 So what we've got planned for the next hour is I'm going to introduce you to a number of key players bomb in for the Faculty of Science there from across the campus, but they're very important to graduate students and students, and everybody in the Faculty 12:01:46 of Science, and they're going to say a few things to introduce you to you, Vic and introduce the Faculty of Science. If you haven't already been introduced. 12:01:57 And then after that, I'm going to invite you to ask some questions about your graduate studies upcoming. 12:02:07 And we have number of representatives from each of the units across the Faculty of Science, there are six units. And those representatives are here to try and answer your questions as they come up. 12:02:23 So let me begin by introducing the Dean of science, Peter Luke Piniella Thank you very much. 12:02:32 I see that the presenters are sort of sorted in, in, in order of increasing relevance to graduate studies which basically means unreleased relevant for you. 12:02:42 But I do want to welcome you all on behalf of the Faculty of Science and welcome you back if you have been here before, back to campus many of you have actually been worked throughout the summers throughout the summer so this is not new to you. 12:02:56 Some of you may know that I've also been a graduate student at the University of Victoria. Now that was a long time ago, so I got my PhD in 1996. 12:03:06 And back then read studies and responsibilities for graduate students were really quite different. 12:03:12 But a few things haven't changed. 12:03:15 One of them is that graduate students remain the most important research engine on campus. 12:03:22 Without you research would just come to a standstill. Pretty much instantaneously. 12:03:29 This is not what you hear from your supervisor so all things that it is them will conduct the research but we all know that really does you and that they absolutely rely on your expertise. 12:03:40 And you, everybody knows what's going to happen when the boss comes into the lab and fiddles with all the equipment, things go awry. So we all know you know where your role is and all of this. 12:03:51 Also I want to highlight the enormous importance that graduate students have when it comes to teaching to delivering our courses from a lab supervision to tutorials. 12:04:02 Study centers and so on. So, I just want to show you that that my office and actually everybody in this call is very very much aware of the really absolutely important role you play in the operation of our faculty. 12:04:16 So that's basically all I've got to say, I'm going to hand you over to Steve Evans the acting Dean of the Faculty of reading studies. 12:04:23 Thanks, Peter, Steve. 12:04:27 Thanks, Peter, thanks Neil just need a moment to share my screen. 12:04:39 So welcome everybody. 12:04:45 I don't know if I agree with Peter statement about who's relevant who's not relevant to to you as graduate students. I'm an Associate Dean in the faculty graduate studies normally the dean would be here but he's just away for a few weeks so I find myself 12:04:57 in the position of being acting Dean, and the faculty of Graduate Studies a very interesting faculty, we have all of these what are called the discipline faculties business education engineering, all the way down to a science and social sciences. 12:05:12 Plus, we have the Division of Continuing Studies in the Division of Medical Sciences. Every one of these has graduate programming and all of this graduate programming is administered through this office for the faculty and graduate studies, and every 12:05:27 one of you as a graduate student, it might shock you to learn you're not actually in the Faculty of Science you're in the faculty graduate studies. And if you have any issues with your program if you have any questions that you need asked you have any 12:05:40 problems that need resolved. Then you come and see one of us. 12:05:44 So here's the structure of our office we have a new dean, Robin Hicks, and we have three associate Dean's and then we have the office staff it's quite interesting that the fact that graduate size is dominated by people from the Faculty of Science Robin 12:05:59 Hicks is from chemistry john dollars from biology, Earth emotion science, and I'm from bio chemistry and microbiology, which means to avoid any appearance of conflict if you do have an issue you're going to be coming talk with Jennifer White, who was 12:06:15 from human and social development. 12:06:30 Chances are, most of you will never come and see us. I have 850 terrific colleagues on campus, my fellow professors are all Dedicated To Your Success. And then the office we have the scholarships and awards unit administer large parts of the Graduate 12:06:37 funding. 12:06:39 We have the program clerks, the serve as assistance to the associate Dean's, and they are probably the only people you'll talk to, and the fact that graduate studies when you hand your thesis or dissertation in, you'll hand it into one of them and they'll 12:06:53 take it and do what what needs doing. 12:06:57 And then the dean has a coordinator to do with advertising events in the faculty graduate studies. 12:07:09 So when your department. It's not the same everywhere but in the fact that science you have a chair who's responsible for the day to day operations department and you haven't graduate advisor. 12:07:18 This person who directs the graduate program is a voting member of the governing body of the faculty graduate studies, which is the FGS Council, and as the primary link to school should say department between the department and the faculty graduate studies, 12:07:38 The Graduate supervision policy it's actually one of the policies in the supervision policy that you be presented with it, which is a very detailed document that describes everybody's responsibility the supervisory relationship what your supervisor owes 12:07:56 you what your supervisory committee owes you what the dean's office owes you what you all, everybody else, another document is the department graduate handbook that describes how you go about completing the requirements for your degree. 12:08:16 The video appears to be frozen. 12:08:20 So a lot of these people are going to speak today so I don't want to spend a lot of time but I just want to emphasize the resources that are available to graduate students at the University of Victoria, we have the dean and associate Dean's you can come 12:08:34 and see one of us if you need to, for any sort of confidential discussion, you've got your chair, you've got your graduate advisor. The Graduate supervision policy is always a good place to look if you have a question, the graduate calendar is important. 12:08:50 That's the word Senate. 12:08:52 And so, if the graduate calendar says something is sold in it so they're all the student groups, and if you want to be part of the student group I would encourage you there we have the native Students Union, the Society for students with a disability 12:09:08 students of color collective unit pride collective, the gender Empowerment Center and the music Alumni Association among other groups. 12:09:18 The Center for Accessible learning. If you have a disability you need an accommodation they're the people that you see the graduate students society. This is a very important group, and our office has a really close working relationship with the graduate 12:09:31 students society are familiar with graduate students societies all across Canada have to tell you we have one of the best ones here. 12:09:39 We have, of course University Health Services. 12:09:42 You have your peers. 12:09:46 Other people in the program you can speak to the graduate secretary. 12:09:51 This is a really important person this is the person in your departments going to handle all the paperwork, and they're like Google, they just know everything you want to ask a question about your program ask them, counseling services Campus Security 12:10:06 International Student Services I saw us here today. The first people's house. 12:10:11 This one down here at EQHR This is the Office of Equity in human rights. If you feel, something's not quite right if you feel that there are some problem with equity or some abridgement of human rights Don't hesitate, you can go and see these people for 12:10:27 a confidential consultation. 12:10:29 And finally, up in the top right, in a little bit different presentation is the ombudsperson who is completely independent from the University of someone that you can go and see to just get independent confidential advice about how to approach a problem. 12:10:55 Well that's it for me. 12:10:57 Thank you, Steve. very very valuable. 12:11:02 Next I'm going to introduce my colleague in the Faculty of Science, the Associate Dean for Research in the area of science Laura Cowan 12:11:16 finds up. Oh, there you go. Good. 12:11:22 Can you see those neon, so good. Great. So, I want to talk about something very important which all grad students want to know about which is funding, how to get more money. 12:11:35 So first I'll talk a little bit about insert. 12:11:39 So n Cirque is our national funding for science, but if you are a student working in health you might be looking at CIA char. 12:11:49 And these two programs are very similar, or. That's my understanding, there's doctoral level programs and master programs but note that these are only for Canadian citizen or permanent residents so domestic students. 12:12:06 There's three different awards that are of interest, there's the CJGSD, the PGJS, and the CGS so the first two are for two doctoral students. And the last one is for master students. 12:12:26 Then there's also the very prestigious venue. This one is by nomination only, and there is a leadership requirement but hey if you if you're that student. 12:12:37 It's a great one to get. 12:12:40 You need to submit your applications, I think they started early October, master students might have a little bit longer. 12:12:48 And if you are self identified indigenous student there are extra scholarships available from answer. 12:12:56 What can you start now you can start right away and the first thing to really start is populating your Canadian common CV so just do a Google search for the Canadian common CV and start entering your information, it's tedious and annoying, but it's a 12:13:14 requirement to go along with your application so get that done right awake. 12:13:21 Talk to your supervisor about a potential research proposal. They are there to help you. 12:13:26 And start early Don't wait until the end of September to write your research proposal. 12:13:33 So get feedback. 12:13:36 Faculty of Science or sorry the faculty grad studies, has coaches that will read your application. And I'm going to direct you to Yvonne rando to find out who it is, who is the insert coach, coming up this fall. 12:13:52 Another big important thing to think about for grad students is support letters these can mean a lot to your application and you have to think carefully about who you're going to ask to write your support letters so start thinking now, and possibly have 12:14:09 backups in case someone is not available to write a letter. 12:14:17 All right. Faculty of grad, or of science also has the Rob and Tammy Lipson research scholarships, these you apply for in April, so you can start thinking about them now. 12:14:30 domestic and international students. And there, too. I think there's, they're mostly to support travel but it, it could be some other things going on there as well. 12:14:47 So, if you have an opportunity to do international research, these are these are great ones to go for another set our donor award so you Vic gets some money from donors and they want to support grad students and so there's all various awards. 12:15:08 There's different criteria. So, there seems to be a lot for if you're interested in marine science but you never know if you have a look at those donor awards. 12:15:18 Each unit. 12:15:20 Does the donor award slightly differently so it might be. 12:15:24 But as a student, you have to apply it could be that your supervisor has to nominate you or it could be that the grad advisor handles that and nominate you, so check in with your grad advisor find out about don't donor awards, and what it is you need 12:15:38 to do. 12:15:40 We also have a new Research Award coming It's, it's not quite out but these are awards are for students from underrepresented groups. So, Wait, wait more there's more coming on that 12:15:56 Also there's external awards out there my students have been very successful at applying outside of you Vic, for example googling with women in STEM and finding out what awards are out there, check your academic societies in order to get travel awards 12:16:13 and qp also supports it's th both graduates and undergraduates to travel to conferences and whatnot so if you are a TA, you could find out from qp. 12:16:27 There's also indigenous student awards, and I'm going to defer to Lydia, to talk a little bit more about that, about that. There's ta opportunities at first people's house and check out if you haven't heard of them yet check out asis there's an oasis.ca 12:16:49 chapter, and they have both funding, as well as conferences to support Indigenous students. 12:16:57 Finally one other way, or a couple other ways to get funding is through Co Op which I think are Katie is going to talk more about internships have my tax, as well as answer cuz industrial partnerships. 12:17:13 so again, talk to your supervisor. 12:17:24 And if you're thinking more that you're interested in teaching, you could look at. lts I, I'm going to get the acronym wrong, but they've got teaching related grants for grad students. 12:17:31 And that's it for me so I'm hearing later about that. 12:17:37 Thank you Laura. Today I'm joined by my colleague, Paula, leave he Paula, is the self isolation coordinator. 12:18:13 We've been invited to the session to answer your questions regarding to studying at up as an international student. 12:18:20 So before I start, I'm going to share the a couple of slides with you. 12:18:34 Okay. 12:18:36 There we go. 12:18:37 Now, we'd like to provide a brief overview of international students services, or ISS. In short, I assess is a centralized resource, providing international services settlement information and immigration and self isolation supports for students at you 12:18:55 back. 12:18:56 There are four teams within ISS, and each team has its area of expertise. So, International Student Advising team which I belong to provide immigration and settlement advising to you, Vic, students, you make international students. 12:19:12 We specialize in answering questions related to Canadian immigration documents work authorization for international students and health insurance, as well as settlement resources, ranging from binding housing off campus, setting up a bank account in Canada, 12:19:28 transportation options, such and such, so feel free to connect with our team if you have any non academic concerns the exchange team the student exchange team facilitates academic exchanges with partners in over 20 countries around the world. 12:19:45 If you are approved to participate in an exchange program at you Vic, you will be referred to our exchange team for further support, at one point, the global community team focuses on providing opportunities for campus members to celebrate diversity, 12:20:02 as well as advanced inter cultural competency. They also coordinate international student welcome activities to support the well being social cultural transition and academic success for our international students. 12:20:17 Next, the self isolation team was created last year in response to the cove igniting quarantine requirements announced by the Government of Canada. So, this program typically support students, arriving to Canada from overseas. 12:20:34 This team works on providing information and support for students who are required to provide a quarantine plan or to complete their self isolation, once they arrive to Canada. 12:20:48 So here is our office contact information. Most of our stats are still working remotely, but you can continue to reach us via email or phone. I know that there may be a delay on the processing of your study permits but if you have any concerns, you can contact our team for for their support. 12:22:12 Another important thing is the self isolation requirement. 12:22:16 So keeping my, as long as the, the travel restrictions are in place there may be changing self isolation requirement. So stay tuned with the Government of Canada website, which I'm going to export to put it in the chat for you to stay informed. 12:22:34 And then, after you visit the Government of Canada website if you still have questions or need further support, again, feel free to contact our friend My advisor or the soap isolation program team directly. 12:22:47 Last health insurance. Before you travel to Canada, you need to make sure you have proper temporary health insurance coverage for the first term in Canada, any questions, you can contact ISS, or for the support. 12:23:00 And I also want to share the some event info coming up on August, 18, from our team. So we will be hosting different information sessions for international students inside Canada outside of Canada and also we will be providing health, instead of an information 12:23:16 for international students whether you are returning or you're new to join our campus in the fall. She is a consultant in the office of occupational health and safety and Vivian. Are you ready to take day you are. 12:23:59 Thank you. 12:24:02 Hey, so let me just share my screen. 12:24:05 Okay, for you and can see that. 12:24:08 And so, of course, I'm 12:24:13 happy to share. 12:24:16 Okay, great. So yeah, so I'm Vivian I'm from you the occupational health and safety and environment team, there's nine of us on the team. 12:24:26 And I'm just put the information for three of us because we predominantly work with the same Faculty of Science. So there's Jacqueline, who's the Associate Director of urgency, she's the designated biosafety officer, and she works a lot with micro bio 12:24:41 and microbiology and so then try on our team I he's an agency consultant, he's the Radiation Safety Officer he focuses mostly on ionizing radiation, and he works a lot with physics and astronomy and earth and earth sciences, and then myself again I'm 12:25:01 an OTC consultant, and I am more of the chemical and laser safety so the non ionizing radiation, and I work predominantly with the chemistry and biology departments. 12:25:15 So a lot of times we do safety inspections, you might see us in campus, walking around and train labs and may never see us depending on what time of day we're working. 12:25:26 So one thing that we provide is a lot of training for safety in the laboratories, so I listed here. 12:25:33 The various courses. 12:25:35 Everything's available online, and there's no time restriction, and some were face to face. But, such as like lab safety for lab workers and biosafety. 12:26:00 you can get from talking in person as opposed to just, it's a lot of information to be reading online so hopefully, fingers crossed we'll get that back soon. 12:26:06 But in the meantime, everything's available. And so, unless these ones separately because these ones are like the minimum that you would need to take as working in a laboratory. 12:26:12 So this is a very, the health and safety orientation is very general information for everyone on campus, employees or students, and women in the workplace hazard materials information system. 12:26:24 If you're working with chemicals, whether it be just something benign and very limited. You still have to take it. And same with lab safety for lab workers, you're working in the laboratory, you have to take that. 12:26:38 So depending on your research, there's additional safety training courses to take again all online. So you take them as you need them so biosafety or X ray or whatever they're all available. 12:26:51 Finally, I just want to touch out on covert 19 cents has impacted all of us before on campus we had safe work plans and each lab was responsible to have their own because it's unique to the space. 12:27:05 Because now BC is restarting to open and making less restrictions. You Vic now has a communicable disease plan that is for the whole university. 12:27:17 And so this is available to look online and read for yourself. And it touches base on things that have to be done. And part of step for the BBC plans to reopen on September 7. 12:27:30 So, it talks a bit about what's expected for daily health self assessments hygiene practices. 12:27:35 Yeah so routine cleaning building ventilation and supporting vaccination. So, um, yeah, take time to read that. 12:27:43 I just wanted to emphasize to you might see they're slowly coming down but there's a lot of signage on campus and barriers. So we're slowly phasing that out, but you might still see it on campus, not so much in the philosophy of science but other student 12:27:59 buildings like the Jamie castle center might still have barriers, and we're all kind of used to that right now. So, but slowly, those are going away. 12:28:09 So that's pretty much all I want to talk about. 12:28:13 Thank you, Vivian. Very nice. 12:28:17 Appreciate that. Let me turn now to Lydia. 12:28:22 Lydia is the indigenous resurgence coordinator for three faculties, we call them the try faculty, and that is the Faculty of Science the Faculty of Humanities, and the faculty of Social Sciences. 12:28:39 So, hi Lydia. 12:28:41 And thank you I'm Lydia and it's ego saw. 12:28:49 My name is Lydia to our program creamy to my mom's side and first generation Canadian immigrant from Holland on my dad's side. 12:28:54 I am an also a graduate student in anthropology, but as Neil mentioned I'm also the indigenous resurgence coordinator for the tree faculty for Indigenous students out there I just want to really emphasize that relationship, you can build with me. 12:29:07 There are a lot of services on campus and sometimes it can be hard to find them. And so I'm happy to support you in that journey and I'll put my email in the chat for you, but I really want to emphasize the first people's house. 12:29:19 That's our home away from home for Indigenous students on campus. We have hot lunches every Wednesday for new networking. We also have three snacks. In the first people's house we have computers you can use tutoring. 12:29:32 We also have indigenous counselors for mental health support, and there's a man and a woman if you have a preference and they're both indigenous and highly trained, we have the for graduate students the indigenous mentorship network of the Pacific Northwest 12:29:46 and something that I would love to encourage you to do to participate with, they have funding mentorship, you can have a community mentors mentor or academic mentor or a professional mentor. 12:29:59 There's also circle this center for indigenous community learning and center for indigenous and community engagement, and they have a lot of excellent workshops for graduate students. 12:30:11 There's a lot of supports available for you on campus for funding, there are quite a few funding opportunities on campus, but a lot of indigenous funding is in the community. 12:30:21 So there's the image or the Irving k barber society, inspire. 12:30:26 So there's a lot of different ones off campus that we can look at together and I have also was at the indigenous recruiter so I have had lots of time exploring all the scholarships that are available as Laura mentioned we're also interested in working 12:30:39 with the American Indian Science and Engineering Society that also has mentorship and scholarship opportunities for you as well as an indigenous graduate student, there aren't as many of us, but I'm really happy to help connect you with our students as 12:30:54 well in the sciences, we have some excellent graduate students and if you're interested in becoming a mentor, we can also find you some opportunities there as well. 12:31:02 in the sciences, we have some excellent graduate students and if you're interested in becoming a mentor, we can also find you some opportunities there as well. My name is Arkady, I'm here on behalf of several folks as you see in this first slide, and the club coordinator for the math stats, chemistry, physics and astronomy program and I work together with Diane 12:31:47 candy to sit down and Jeremy, as part of our science Co Op in Career Services team, and you Vic, what all of us do, is our mission is to give students, tools, resources confidence to build their professional journey, both while you are going through your 12:32:07 graduate education and as you're transitioning outside of your graduate education into the working world or into PhD or into faculty position what happened 12:32:19 on so the next five minutes, I wanted to introduce our Career Services person, Jeremy who's here and will be available one with myself for the q&a portion, our career Co Op program where to find information which is probably the one most important slide 12:32:38 is where you can go to get information over your eligibility criteria to participate program, processes, apply and what is that you could do. 12:32:52 Katie I thank you, your, your voice is going a bit low, maybe get to the microphone. 12:32:59 All right, I'm going to try and speak up a little bit, our new words good. Again, thank you. 12:33:04 So our career offices and Jeremy is our current or educators supports your journey as you are figuring out learning about what it is that you'd like to do professionally speaking so on a couple of slides just to showcase what we normally come to expect 12:33:34 a career we finished high school choose a post secondary program finish that get a job go into a PhD, become faculty member or go into research or some such. The reality these days is very, very different. 12:33:46 majority of folks and navigating this maze can be a little bit tricky. So our goal between Corp and career is to help you both while you're in grad school and beyond that, and so chairman's office focuses on the elements as you are going through education 12:33:58 and outside and we focus in Co Op on giving you hands on experience while you're going through your education. 12:34:08 So this is Jeremy, he is with us right now. 12:34:12 He supports students in terms of career planning to transition into post degree work resume and cover letter interview preparation, and several other things that I'm very likely for getting So Jeremy you'll be able to help during the q&a section. 12:34:27 Our Co Op program focuses on providing students with opportunity to work, paid during their academic studies learn how to enhance your resumes, cover letters interview skills, and we support students before, during and after they go on these short term 12:34:46 work placements while they're studying. 12:34:51 And we hope that that allows you to escape this kind of dribble wheel problem of, I need a job to get experience and I need experience to get a job. 12:35:01 Um, you will get the opportunity to have the work that is paid in your field all call work is paid work in your field for a semester sometimes longer explore various career possibilities, whether it is academic science research or things that are aligned 12:35:20 with your discipline, but are not within academia. Many of our students get published during their work. There is some opportunity to travel right now it's within Canada but sounds cool but it is also outside, it helps you build a network, and many many 12:35:36 times students who have gone on to work with corporate employers have then being fired as full time employees with these employers as well. 12:35:46 So probably the most important slide after I'm done chatting, all of this information and further information sessions and our contact information or if you can always see dot.ca. 12:35:58 So if science Co Op. But, but we hope that everybody has a chance to come to the classroom eventually credit courses don't have that 12:44:29 that provision they tend to be smaller and the classrooms that are used for for graduate students are not equipped necessarily with AV equipment to record lectures. 12:44:41 So if you need to stay home you can ask your instructor to share notes with you, of course, or to even record the lecture. Somebody works from a PowerPoint. 12:44:51 It's very straightforward to just record, the, the audio transcript at the same time as you go through the lecture. 12:44:58 So I hope that instructors will will be accommodating. 12:45:03 Other than that I, when it comes to having to stay at home and not work in the lab because you have to stop isolate this is a matter to discuss with your supervisor, with your research supervisor up sir, anybody else would like to comment on first question. 12:45:22 question. Now, on the covert restrictions. 12:46:42 I don't know how many examples we've had yet of students who have come to campus with symptoms, but my guess is that it's, it's quite low and I'll look to my colleagues, to see if anybody could provide that information. 12:47:00 I think it's quite low and I think there is a there is a general understanding now that you know if you're not well. You should stay home and not not even not go to campus but not leave your your your house or or residence. 12:47:20 It is very important to protect everybody. And so I think that's pretty well ingrained in society now and I think it's a very well ingrained conditioning in in the Faculty of Science, and in the graduate population within the Faculty of Science. 12:47:40 Would anybody else like pizza is on muted himself piece which is not much to add here. For those who are not currently in VC, and I'm not really familiar with the public health restrictions, the vaccination rate in Canada and NBC is about as high as it 12:47:57 is in the world. So, so we are really, you know, on par with the you know the most advanced European countries when it comes to exclamation rates. 12:48:09 Um, I would like to take this opportunity to urge all of you to get vaccinated. 12:48:14 They are currently no restrictions. 12:48:17 So the, the BC government has not really impose mandatory vaccination for for secondary education. 12:48:25 That may change, I know whether it does I know that some student unions have been lobbying for mandatory vaccination. 12:48:33 NBC as well. so who knows what's going to happen between now and September. 12:48:39 I I'd ask you all to be proactive and get vaccinated, so that this is not an issue to you. 12:48:44 Good, thank you.
