Submit your photo online

All registered students, new faculty and staff without a current photo in the database. 

How do I submit my ONECard photo?

After you are admitted to UVic and pay your admit fee, you are eligible to access the online Photo Submission page in My page with your NetLink ID and password. Once you are registered we can produce your card.  New students, faculty and staff should upload their photo online before arrival to reduce line-ups when picking up their ONECard for the first time. You will need your NetLink ID prior to submitting a photo. You'll also need to bring government-issued photo identification with you when you pick-up your new ONECard.

Your photo must be:

  • Current
  • In colour
  • A .jpg format
  • On a white, smooth background
  • Centered
  • Show a front view of face
  • Cropped like a passport
  • Show open and visible eyes
  • Be appropriate

Wear prescription glasses if you normally do so.

Your photo must NOT have:

  • Filters used or be altered in any way
  • Hats, sunglasses or other obstructing items
  • Shadows
  • Other visible people or objects in the photo


Dos and don'ts of photo submission

Note: If you already have a photo, the photo submission option will not be visible in My page.  The ONECard office will email you usually within 3 business days after you have submitted your photo.

1. Have your picture taken

Have someone take a digital color photo of you that would be appropriate for official identification.  Your photo must be:

  • current
  • colour
  • jpg
  • on a white smooth background
  • centered with full view of face and hair
  • eyes open and visible
  • wear prescription glasses if you normally do so
  • Can not be digitally altered

2. Upload your photo

Log in to My page using your NetLink ID and password. Follow the instructions.  You will have an opportunity to crop it as well.

3. Submit your photo

After logging in you can upload your photo. You will have two options.

  1. If you are sure this is the photo you want to appear on your UVic ONECard, you can click "Submit."
  2. If you don't want this photo to appear on your UVic ONECard after uploading, click "Cancel" and upload another photo.

If you submit an inappropriate photo, you'll be notified by the onecard staff.

4. Wait for a confirmation email

When your photo has successfully been submitted it will be reviewed by the ONECard staff. The office will email you at your UVic NetLink email address within 3 business days to let you know whether your photo has been approved or rejected.

If it has been rejected, you will be asked to resubmit a new photo following the instructions in the e-mail.

5. Pick-up your ID card

Bring one piece of Government issued photo identification to pick-up your card at the University Centre when you arrive on campus. You must bring government-issued photo ID in order to receive your card (e.g. passport or a driver's license). THe card will not be released to you without this documentation, we do not mail cards and only you can pick-up your card.
