We understand you have questions about the fall session. We are actively planning for the upcoming academic year with your health and safety as our highest priority. Fall session

We are committed to offering students options for staying on track, graduating on time, and meeting their learning goals. With these factors in mind, we will be offering programming predominantly online for the fall term.

Where health and safety permits, we are also exploring opportunities for in-person instruction to support essential experiential learning, graduate education and work-integrated learning; the fall timetable will be available later this month.

We recognize the importance of resuming our on-campus research and we will be gradually resuming research activities for faculty and graduate students while complying with physical distancing and other health and safety requirements.


Oral exams

Until further notice, all masters and doctoral exams will be held via video conferencing options. Students and committee members can contact the graduate secretary in their home unit for more information on how to request this option.

Rescheduling your exam due to illness is possible in consultation with the Faculty of Graduate Studies and may result in additional fees. 

Completion Postponement Fee Adjustment (CPFA)

An extension to the CPFA period is being permitted for the January-April term due to COVID-19.  Eligible students must have:

  • Defended their project, thesis or dissertation on or before June 1, 2020;
  • Completed and submitted all project, thesis or dissertation corrections on or before June 15, 2020;
  • Completed all other program requirements prior to this extension;  
  • Paid their minimum total program fee prior to the term in which the oral examination takes place;
  • Registered in the term in which the oral examination and corrections will take place (Summer 2020);
  • Submitted all documents necessary for graduation to Graduate Admissions and Records by 3 p.m. on or before June 15, 2020; and

Submitted their thesis or dissertation (not project) to UVicSpace on or before June 15, 2020, after all corrections have been approved by their supervisor.


Program extensions

Program extensions related to COVID-19 will be approved upon receipt of the Request for Program Extension form (PDF). Students approved for program extensions will be assessed re-registration fees (PDF) rather than full programs fees for the period of the extension.


Leaves of absence

If you feel you require a leave from your program due to COVID-19-related impacts, please first discuss your circumstances with your supervisor. Following your discussion, you may submit a Graduate Academic Concession form (PDF) requesting a Leave of Absence with Permission (Compassionate Leave). Indicate COVID-19 reasons in section B of the form. Tuition will not be assessed for the Leave of Absence period.

International students should consult with International Student Services before requesting a Leave of Absence.

Deferring funding
If you follow the instructions for requesting a Leave of Absence with Permission (Compassionate Leave), your scholarship (e.g. UVic fellowship, graduate awards, NSERC, SSHRC, CIHR) funds will be deferred for the period of your leave and will be available to you once you return to your studies.

Extended health & dental
Please contact the GSS Extended Health and Dental Plan Coordinator at gsoc@uvic.ca to ensure coverage is not interrupted if you decide to take a leave of absence for the term.


Grading

UVic is offering grading options for the January-April 2020 term (as well as courses spanning September-April), in an effort to help ensure academic quality, support student success, and alleviate stress during these challenging times.


Travel grants

UVic has temporarily suspended centrally funded (e.g. department/school or faculty budgeted) travel until such a time as the Government of Canada updates their travel risk rating, currently at “avoid non-essential travel outside Canada.” Please check the Government of Canada Travel Advice website for the latest travel information.

In keeping with the above, the Faculty of Graduate Studies (FGS) will not be approving ANY new applications for FGS travel grants until further notice. However, while travel restrictions are in place, FGS and the Graduate Students’ Society (GSS) have temporarily reallocated a portion of the Graduate Student Travel Grant Fund to a grant for students intending to present at or remotely attend online conferences.

Any questions about previously approved FGS travel grants impacted by COVID-19 or support for participation in an online conference should be directed to Karen del Sol at fgsschol@uvic.ca.


Telehealth

Graduate students who have a valid BC MSP number are eligible to use telehealth services to talk to a licensed physician online or over the phone. Their appointment with a physician will be covered by MSP. Learn more


Teaching assistants

Please contact your supervisor for information on course delivery. You will also find remote teaching resources on the Teach Anywhere website.

You will continue to be paid as a teaching assistant for the duration of your contract. Please consult with your supervisor on your work duties.


Summer session scholarship eligibility

You must be registered in at least 1.5 units this summer to remain eligible to receive payments from any UVic-funded graduate scholarship—including UVic Fellowships, donor awards or a BCGS.

To remain eligible to receive payments from any federal research scholarship (e.g. NSERC, SSHRC, CIHR), graduate students must be registered in at least 3.0 units from May to August. 


Admissions

At this time, Graduate Admissions and Records is processing evaluations as per usual. If we need to make adjustments to our service delivery, we will provide information as soon as it is available. You can check the status of your application online at My Status. If your application is currently with the academic unit for review, please contact your graduate secretary for information about their specific timelines.

English language proficiency

If you have been selected for admission, options for completing the English Language Proficiency requirement can be reviewed on a case-by-case basis by the Faculty of Graduate Studies. Please contact graddir@uvic.ca.

Transcripts

If you have been selected for admission, options for providing official transcripts and/or confirmation of degree completion can be reviewed on a case-by-case basis by Graduate Admissions and Records in consultation with the Faculty of Graduate Studies. Please contact graddir@uvic.ca.
