Please note our exhibitor cancellation policy:

If you have registered as an exhibitor at the UVic Work Experience and Career Fair and are no longer able to attend, you must provide notification of your cancellation in writing by email.

  • Cancellations made up to and including September 2, 2018 will receive a 100% refund, minus a $50 administration fee.
  • Cancellations made up to and including September 16, 2018 will receive a 50% refund minus a $50 administration fee.
  • Cancellations or other registration changes after September 16, 2018 will not receive a refund. 
  • Refunds will not be granted for last-minute cancellations due to inclement weather.

Please note: refunds can only be processed via cheque.

Exhibitor package pricing

Different students stop by on each day of the fair, so you can maximize your recruitment opportunities by attending for both days.

Standard and government exhibitors

  • Standard and Government One-Day Package: $800 + taxes
  • Standard and Government Two-Day Package: $1,350 + taxes

Graduate and professional school exhibitors*

  • Graduate and Professional School One-Day Package: $500 + taxes
  • Graduate and Professional School Two-Day Package: $750 + taxes

UVic department exhibitors

  • UVic Department One-Day Package: $350 + taxes (no tax if paid by JV)
  • UVic Department Two-Day Package: $575 + taxes (no tax if paid by JV)

Non-profit exhibitors**

  • Non-profit One-Day Package: $350 + taxes
  • Non-profit Two-Day Package: $575 + taxes

* Grad/professional school spots are reserved for post-secondary institutions that offer graduate and professional educational programming directly to students. A limited number of grad/professional school spaces are available; as a result, third-party representatives or other organizations acting on behalf of grad/professional schools are asked to register as a standard or non-profit exhibitor (as appropriate).

**Must have proof of non-profit status. Graduate and professional schools must register as a "Graduate and professional school" exhibitor type.

Exhibitor package benefits

  • 8’ x 8’ draped trade show booth in the Michele Pujol Room, Student Union Building
  • 2' x 5’ skirted table and two chairs
  • Electricity hook-up
  • Free WiFi*
  • Hospitality packages for up to two representatives per day (includes welcome package, light breakfast, lunch and coffee/tea throughout the day)**
  • Parking passes or bus passes for up to two representatives per day***
  • Assistance with booth set-up and take-down
  • Description of organization and link (provided by exhibitor) on fair website

Standard exhibitor packages and Non-Profit and Canadian government packages also include:

  • Job posting on the Co-op and Career Learning in Motion portal (upon request)
  • Assistance with arranging interviews on campus (upon request)

*WiFi reliability has been inconsistent in the past and is beyond our control. We highly recommend that you bring backup materials in case WiFi is not available.
** Additional hospitality packages can be purchase with registration.
***Due to UVic parking regulations, we cannot reserve parking spaces. We recommend that exhibitors carpool and/or arrive early. Additional parking passes can be purchased with registration.

Event logistics

Shipping your material

If you would like to arrange to have your materials shipped before the event, please follow these steps:

  • Company materials should arrive at our Co-op and Career office no sooner than September 25, 2018.
  • When you ship your materials please email the Events Coordinator, at UVicCoopCareerEvents@uvic.ca, the expected date of delivery, the amount of boxes and general size of the shipment.  
  • You are responsible for making arrangements with the courier of your choice for return shipping after the event at this same address. An administration fee of $50 will be charged to your organization if we arrange return courier/shipping services for you.
  • If you are shipping materials from out of country please arrange to pay for custom charges in advance. If we are charged custom fees, you will be charged back for the amount (plus interest) as well as a $50 administration fee. Contact a customs broker if you are unsure how to arrange this advanced payment.
  • Please do not bring excess amounts of promotional materials to leave at UVic. We are unable to display your materials after the fair and any left behind will be recycled or discarded.

Parking and WIFI

Please be advised that internet service has been inconsistent in the past and is beyond our control. We highly recommend that you come to the fair with backup materials in case WiFi is not available.

We will provide you with parking passes, but we cannot set aside parking spaces. We recommend carpooling or coming early to secure a spot. Please see our parking map for parking locations—please note that passes are only valid in "General" parking spots and are not valid in metered or "Reserved" parking spots.

Exhibitor tips

How to make the most of your time at the fair:

  • Make sure your company or organization name and logo are clearly visible.
  • Be clear about whom you wish to recruit.
  • Have enough staff at your booth to be able to answer questions and receive résumés.
  • Be available. Turn off cell phones, PDAs, Blackberries and other devices while at your booth. Students are unlikely to approach you if you look busy.
  • Make eye contact and smile. Students are more likely to approach if they feel welcomed.
  • Acknowledge students who are waiting to approach your booth.
  • Staff your booth with interested, pleasant, professional representatives. This is more important than fancy or complex displays.
  • If you bring swag or giveaways, make sure it is something that students will use (bringing giveaways is not mandatory).
