Exam services for instructors

The Centre for Accessible Learning (CAL) provides a professionally supervised Exam Centre that offers:

  • the ability for students with exam-related accommodations to write tests and exams
  • summaries of student's exam accommodations
  • referrals to, and collaboration with, Learning Experience Designers via the LTSI

Types of exams

If you require accommodation services from the CAL Exam Centre for your:

Please provide exam details no later than 1 week before the start of the exam period.

  • enter your exam details through CAL Online Instructor Services
  • exam details include date(s), start time, regular duration, material requirements, allowances, your contact information during the exam, your exam delivery and return preferences (if applicable)

You will receive an email 6 days before the exam with a list of the students scheduled to write with us and their start/end times.

Note: we do not require final exam details until the release of the final exam schedule.

Face-to-face supervised exams

  • if you identify an error on the exam in the classroom, please notify CAL as soon as possible so we can provide this information to your students
  • if students are unclear about a question and cannot contact you, they should note their concern on the test paper and answer based on their interpretation of the question

Paper-based exams

  • you must submit your exam copies to CAL 24 hours prior to the day of the exam.

Online exams

  • you are responsible for applying extra time accommodations and adjusting exam access for your student(s) with alternate start times
  • Learning Experience Designers through LTSI are available to support instructors to meet students' accessibility and accommodation needs in Brightspace and other UVic learning technologies
  • you must submit any passwords for your exam to CAL 24 hours prior to the day of the exam
  • if you require assistance with online exam supervision, LTSI provides a supervised Online Assessment Room that can accommodate your students with their alternate writing time.

Other exams

If you have designed an exam in any other online format, you are responsible for applying those exam accommodations.

Paper-based exams

  • The CAL Exam Centre calculates and provides extended time.

Online exams

  • The instructor must apply extended time allowances specified in the student's accommodation letter to each student’s exam.

If you are providing a time span greater than the intended duration of the exam for the whole class, and the given time meets or exceeds the greatest extra time accommodation listed in your CAL letters, then extra time generally does not apply. For example:

  • you are giving the whole class 2 hours for a test that takes 1 hour to complete
  • you are giving the whole class 24 hours or longer to complete the exam

Please communicate this information to your student prior to exam day so they understand that the time provided is greater than the intended exam time so you can address any concerns in advance.

Calculators or formula sheets


  • Some students have medical documentation that warrants the use of use of a five-function calculator in exams when calculators are not a standard allowance.

Formula sheet

  • A formula sheet prompts a response to a question that the student has studied but may have difficulty recalling due to sequencing deficits.

Non-restrictive paging formats

This accommodation is specific to students’ ability to navigate back and forth between questions or pages of questions in a quiz/test/exam.

Contact LTSI Support to request the following prior to the exam:

  • a copy of the Brightspace exam without paging restriction for the student
  • turning off the paging restriction in your Brightspace exam for all students (see the recommended quiz settings)

One exam per day or time-of-day restrictions

Students who are not able to write their exam at the scheduled time for barrier-related reasons can arrange to perform the work at another time without penalty.

Students and instructors should follow the information outlined in the letter of accommodation.

Paper-based exams

  • CAL will accommodate adjusted/alternate exam times with instructor approval.

Online exams

  • The instructor will coordinate and apply adjusted/alternate exam times.

Exam overlap or scheduling conflicts

Students with back-to-back lectures may need to begin the exam at a slightly different time to eliminate overlaps that extra writing time can sometimes cause.

Paper-based exams

  • CAL will adjust exam start time to eliminate conflict and ensure exam security.

Online exams

  • The instructor will coordinate and apply adjusted/alternate start times.

Scribe, visual aid or exams in alternate formats
