Here are some helpful Endnote tips that answer some of our commonly asked questions.

Adding a field to a reference type

  • EndNote provides the option of adding six new fields to each reference type.
  • From the Edit menu, choose Preferences.
  • Select Reference Type
  • Click Modify Reference Types.
  • Scroll down and find Custom one and type the name of the new field (There are six new Custom fields that can be added).
  • Click OK, Apply and OK to save changes.

Bibliography - hanging indents

  • The hanging indents don't seem to transfer properly into the Word document if you use the drag and drop feature.
  • Search the library and select references.
  • Choose the output format.
  • Choose Export from the File menu.
  • From the Save as type list select: Rich Text Format (RTF).
  • If you want to incorporate all formats into a word processing document, enter a filename and save to the desktop.
  • In Microsoft Word, choose Open from the File menu and find the .RTF file.
  • All selected references will be displayed in Word.

Exporting from EndNote into RefWorks

  • In EndNote
  • Note: Don't export more than 2500 records at a single time.
  • Select RefMan (RIS) Export from the list of Output Styles.
  • Select references to export. Choose Show Selected under the References menu.
  • Choose Export from the File menu.
  • Enter a filename and a location to save the file. Select Text as the Save as type and click Save.

In RefWorks

  • Select Import from the References menu.
  • Choose RIS Format in Import Filter/Data Source
  • Choose RIS Format in Database
  • Browse to select the EndNote file you created.
  • Click Import

Exporting selected references from a library

  • Highlight the Reference in the EndNote library.
  • From the References menu, choose Show Selected References.
  • Export.

Linking to a fulltext article in EndNote

Step 1

  • Start EndNote
  • Choose Edit and then Preferences
  • Select Find Full Text from the list of preferences
  • Select the check box to enable the Open URL link
  • In the OpenURL Path box change the entry to: http://lg5jh7pa3n.search.serialssolutions.com

Step 2

  • Select URLs & Links from the list of preferences
  • In the OpenURL Arguments box, change the part that states ISI:WoS to ISI:endnote.
  • Choose a particular reference that interests you
  • Click on the citation that interest you
  • Choose References and then URL and select OpenURL Link
  • This will search the library resources and find the fulltext of the article (if available).

Numbering references

  • EndNote assigns a unique number to each reference as it is added into a library. To view the numbering:
  • Select Preferences from the Edit menu.
  • Choose Display Fields.
  • Change one of the Field Labels to Record Number.
  • Click OK.
  • Use the Label field in a Reference to manually enter a unique code that you would like to use for each record.

Printing a selected reference

  • Highlight the Reference in the EndNote library.
  • From the References menu, choose Show Selected References.
  • Print.

Shared access to the same EndNote library

  • If you have personal copies of the EndNote designate one person in the group to update the library. All members contribute references to the designate.
  • You can also share acceess an EndNote library via a Network License.

Special characters - e.g. adding German character set to reference

  • Use The Character Map program supplied by Windows.
  • Choose Accessories from the Windows Start menu.
  • Select System Tools and Character Map.
  • Double-click the character you need and click Copy.
  • Return to EndNote and position the cursor in a reference and select Paste from the Edit menu to paste the characters.

Spell checker preferences

  • To change the spell check preferences from American English to German:
  • From the Edit menu select Preferences.
  • Click Spell Check.
  • Choose Options.
  • Under Main Dictionary Language choose German.
  • Click OK.
  • To add or modify Dictionaries:
  • From the Edit menu select Preferences.
  • Click Spell Check.
  • Choose Dictionaries.
  • Under Files select the dictionary file you want to modify.
  • Use Add File to locate the dictionary file.
  • To add a word to the selected dictionary, type it under Words and click Add Word.
  • Click Close and OK.

Thesis template and word

  • Download the thesis template at the following URL: http://library.uvic.ca/site/lib/dig/uvthesis/wordstart.html
  • Save the template to your desktop or another location
  • The saved file has a .dot extension.
  • Double click the template file and this will create a new Word document, separate from the template.
  • Make sure that you delete the template instructions before adding your content to the document.
  • When you save the file it will be save with the .doc extension.
