Official transcripts

Although it is possible for many applicants to receive a conditional offer based on uploaded documents or self-reported grades, final confirmation of your admission is based on official transcripts.

What is an official transcript?

Official transcripts are issued directly to UVic by a ministry of education, educational institution or other authority. Depending on the issuer, official transcripts may be sent electronically, by mail or by courier.

To be considered "official", transcripts that have been mailed or couriered must:

  • bear the seal or stamp of the issuer
  • bear an original signature of a presiding official
  • be received by Undergraduate Admissions in a sealed envelope with the issuer's stamp over the seal

Note that:

  • documents must be current; out-of-date documents will not be accepted, even if in a sealed envelope
  • documents in languages other than English or French must be accompanied by notarized English translations
  • official transcripts sent to UVic become the property of the university and will not be returned
    • an exception will be made for irreplaceable documents, which will be returned by registered mail upon written request

How to submit an official transcript

Students applying from high school

Applicants from high school must arrange for an official transcript to be sent to Undergraduate Admissions as soon as final grades are available. This applies to:

  • students graduating from secondary school
  • students who have previously attended/graduated from secondary school

Depending on your academic background, transcripts can be submitted via one of the methods below.

BC Ministry of Education

Current high school students

If you are currently studying at a secondary school in British Columbia or the Yukon, you must complete the Post-Secondary Institutions (PSI) Selections form no later than April 30. The Ministry of Education will send your interim grades to UVic electronically in May, and final grades in late July.

  1. Visit the Student Secure Web and create an account using your Personal Education Number (PEN).
  2. Log in to your account and select Post Secondary Institution Selections to provide your permission.

Without permission, the Ministry of Education will not include your grades on the electronic file and your decision will be delayed or the offer could be withdrawn.

Former high school students

Arrange for your transcript to be sent to UVic according to the instructions provided by the BC Ministry of Education.

Ontario Universities’ Application Centre (OUAC)

If you are currently studying at a secondary school in Ontario and have applied to other post-secondary institutions via the Ontario Universities' Application Centre (OUAC), provide your OUAC reference number when you submit your UVic application and OUAC will send your final grades to us electronically.

Applicants who are not able to submit final transcripts using one of the methods above must arrange for official transcripts to be mailed or couriered directly to Undergraduate Admissions from a ministry of education, educational institution or issuing authority.

Students transferring from other post-secondary institutions

Applicants from other colleges or universities must arrange for an official transcript to be mailed or couriered directly to Undergraduate Admissions from the issuing institution. You may also be asked for course outlines to help determine your transfer credit.

Transfer applicants are required to provide a high school transcript for course prerequisite checking. Transcripts can be submitted via one of the methods below.

Applicants holding recognized degrees

If you have completed a degree at a recognized institution, you must arrange for an official transcript (including proof of conferral of degree) to be mailed or couriered directly to Undergraduate Admissions.

Depending on your planned studies, degree holders may be required to provide a high school transcript for course prerequisite checking. Transcripts can be submitted via one of the methods below.
