Listed below are answers to a number of frequently asked questions. The information that is provided was correct at the time of publication, however, it is intended only as a guide to university policies and procedures. Before making any important decisions you should refer to the current University Calendar or consult with a representative of the appropriate University of Victoria department.

When will I find out whether I have been accepted into an EPHE program?

The School of Exercise Science, Physical and Health Education will notify the Records Services Office in early June of program admission decision. These decisions cannot be made until after the final grades for the Winter session have been received for both re-registering students and students newly admitted to UVic (deadline May 31). If your program application has been successful you will be authorized to register in courses related to your new program in mid-June.  The School will separately notify all applicants by email of the outcome of their application.  See "How will I find out if I have been accepted into an EPHE program?" for instructions on viewing the outcome online.

When are admission interviews for the BEd (Secondary Curriculum - Physical Education), the BA (Recreation and Health Education) Cooperative Education, and the BSc (Kinesiology) Cooperative Education programs held?

If you have applied, and are eligible to be considered for admission to either the BEd (Secondary Curriculum) - Physical Education program, the BA (Recreation and Health Education) Cooperative Education program, or the BSc (Kinesiology) Cooperative Education program you will be contacted by email and asked to sign up for an interview. Interview sign-up sheets are posted on the noticeboard that is located next to Room 115 in the McKinnon Building. Interviews will be held on campus in late March or early April.

How will I find out if I have been accepted into an EPHE program?

The School of Exercise Science, Physical and Health Education will notify the UVic Records Services Office in early June of program admission decisions. After Records/Admissions has processed this notification you can visit My UVic Application to view your application status:

  • Sign in using Netlink ID & Password (new students create a profile)
  • Select:’ View Status & Summary’ of corresponding application
  • If you are admitted you will see the following status: ‘Faculty/Program Change Approved’

Email from School of EPHE

Each program applicant will receive an email from the School of Exercise Science, Physical and Health Education before the end of June with explanatory details regarding their application decision. Please note that the School cannot be responsible for technological failures if this email notice to you is undeliverable, goes into your trash, your email address is incorrect or your mailbox is full. As a result, it is important that you ensure that UVic has your most recent email address and that you are able to receive emails.

How do I register for courses after I have been accepted?

If your program application has been successful you will be authorized to register in courses related to your new program in mid-June. As part of your program acceptance you will be automatically transferred out of your current faculty into the Faculty of Education, where the School of Exercise Science, Physical and Health Education's programs are administratively located. You do not need to take any action to transfer faculties.

To register in courses related to your new program you follow the standard online registration procedures. You can find more detailed information on how to register in courses in the Student Registration Guide (Registration 101) and Courses and Registration.

Can I register in a course at another university for credit towards my UVic degree?

It is possible to register in a course or courses at another approved post-secondary institution for credit towards your UVic degree. To do this you need to obtain prior approval from an adviser in the form of a Letter of Permission (LOP). This letter is sent to UVic student records and to the institution concerned and exempts you from the payment of a credit transfer evaluation fee. A copy of the LOP is also placed in your student file. You should note that there is a maximum limit to the number of courses that can be taken externally for credit towards a UVic degree (NB, normally half of the degree - typically 30 units).

What happens if I require a course to apply to a program but the class is full?

If a class is full, you should add yourself to the the class wait list. For most courses there is movement from the wait list onto the class list. In general terms, you should remain on any wait lists and attend those classes for the first week of term. The instructors of each class will be able to give you a better idea of your chances of moving from the class wait list onto the class list.

More specifically, EPHE 143, which is an application prerequisite for each of the School's programs, typically has a a great deal of movement from the wait list onto the class list. The School also tries hard to accommodate students who are interested in registering in this course, however, the School cannot guarantee of a place in this or any other course.

How many courses should I take each term?

The number of courses taken in a term varies from student to student, and is also influenced by the difficulty of the courses taken and whether they include things like laboratories (NB, laboratories can increase the workload associated with a course significantly).

To finish a School of Exercise Science, Physical and Health Education program in the minimum recommended time you normally need to take five courses per term (i.e., 7.5 units per term – across two terms = 15.0 units per session).

Some people in their pre-program admission terms reduce their course load to the minimum number required for admission to the program of interest to them (i.e., 6.0 units per term – across two terms = 12.0 units) in order to get the best possible program admission GPA.

Registering in six courses per term, which is a very heavy load, is generally discouraged unless there are mediating factors (e.g., the term contains courses with lighter workloads). There are restrictions on the maximum number of units that can be taken in a term (NB, generally 9.0 units per term).

If you intend to represent the university in sporting competitions you may consider reducing your course load for the relevant term(s) (e.g., Take three or two courses per term). If you elect to do this you need to be conscious about whether doing so will influence your eligibility to apply to an EPHE program.

Some students elect to take courses over the Summer, which allows them to reduce their term unit loads.

You should note that some student loans and scholarships stipulate minimum term course loads. You should confirm these requirements with the appropriate bodies.

How do I obtain a letter of permission (LOP)?

You can request a letter of permission from an adviser associated with your current faculty. If you have been formally accepted into the BSc (Kinesiology) program or the BA (Recreation and Health Education) program you can obtain a letter of permission from the EPHE Academic Adviser. If you have been formally accepted into the BEd (Secondary Curriculum) - Physical Education program you can obtain a letter of permission from an adviser associated with the Education Advising Centre.

To be able to prepare an LOP for you an adviser will need to know the following:

  • your name and student number;
  • the name of the institution that you wish to attend;
  • the name and course number of the course(s_ you wish to undertake;
  • the name and the course numbers of the respective equivalent UVic course(s); and
  • the expected start and end dates of your registration in the external course(s).

I am in the BA (Recreation and Health Education) program, how do I register in the required administration courses?

You cannot register in your required ADMN electives yourself. You need to contact the School of Public Administration directly. You should email the School’s program manager, Heather Kirkham (i.e., hkirkham@uvic.ca). Heather will register you in your preferred course(s) if there are places available.

What determines when I can access the course registration system?

Your registration date is determined by your year level designation. Your year level designation is based on the number of UVic units that you have completed. It does not include transfer credits and is not influenced by your program status.

Your specific year level designation is displayed on My page under “Check Registration Status.” The units/year groupings are as follows:

  • Below 12 units - First Year
  • 12 to 26.5 units - Second Year
  • 27 to 41.5 units - Third Year
  • 42 units or above - Fourth Year
  • 42 to 56.5 units - Fourth Year
  • 57 units or above - Fifth Year

What is a 10L transfer credit and how can it be used?

Two types of transfer credit are normally granted. Course credit is where transfer credit is given for a specific course (e.g., UBC KNSM 110 for UVIC EPHE 141). Level credit is where transfer credit is given for a course course level (e.g., UBC KNSM 110 for a UVIC level 100 course). An EPHE 100 level transfer credit can only be used against a non-core 100 level EPHE program requirement (i.e., Electives). A MATH 100 level transfer credit can be used against any MATH 100 level EPHE program requirement. Level based transfer credits cannot be used against specific program requirements. For example, an EPHE 100 level transfer credit cannot normally be used in lieu of a 100 level EPHE course like EPHE 143. An academic adviser can give you more specific information about the use of any transfer credits that you have been awarded.

Can I register in a UVic course without applying for formal admission to a program?

If you are not a current UVic student and just want to take classes at UVic for interest or to meet admission requirements associated with another university program you can apply for admission to UVic under the Exploratory Studies category. This category enables you to complete up to 12.0 units without submitting transcripts for prior academic study (NB, a typical term long course at UVic is 1.5 units).

There are, however, restrictions associated with being a non-degree student (i.e., a visiting student). For instance, non-degree students are given the lowest registration priority. So, for some very popular courses, your chances of registering in a course might be very low because all of the places will be taken by people with a higher registration priority. Some courses, particularly higher level courses, are also restricted to people formally in a specific programs. Under normal circumstances you would not be permitted to register in these courses.

As a non-degree or visiting student will also need to meet any standard prerequisite requirements that are associated with the course(s) of interest to you.

How do I apply for the BSc (Kinesiology) Honours program?

Students in the BSc (Kinesiology) program who are intersted in completing an Honours degree should apply to the Kinesiology program coordinator before the start of their third year of the program. Applicants to the BSc (Kinesiology) Honours program require a minimum 6.0 grade point average in all EPHE courses (excluding EPHE 100 level courses) and a grade point average of 5.0 in non- EPHE courses.

How do I apply to graduate?

You will not be considered for graduation automatically. You must submit an application for a specific convocation (Spring or Fall). Application forms for undergraduate students are available online or at the Undergraduate Records office (i.e., main floor, University Centre). How do I remove cooperative education from my BSc (Kinesiology) curricula?

If you would like to remove cooperative education from your curricula you should forward an email request to the BSc (Kinesiology) program ccoordinator. The BSc (Kinesiology) program coordinator will notify the ccooperative eeducation coordinator and the EPHE academic adviser, and the EPHE academic adviser will remove cooperative education for your curricula and send you an email notifying you that the change have been made. Your email to the program ccoordinator should include your request to remove cooperative education from your curricula, your name, your student ID number and your current program.

Are their allocated positions in a program for Indigenous applicants?

The University of Victoria's Faculty of Education reserves 5% of the positions in all of the faculty's programs for Indigenous applicants who meet the Faculty of Education's minimum program entrance requirements and Indigenous application requirements. This provision also applies to programs offered by the School of Exercise Science, Physical and Health Education.

Applicants wishing to apply to a program offered by the School of Exercise Science, Physical and Health Education on the grounds of their self-identified aboriginal status should submit a Program Application Form, as well as the Supplementary Form for First Nations, Métis and Inuit Students

The program application must be submitted to the Undergraduate Records office by January 31.
